About the role
You will own the seamless execution of day-to-day facility operations to ensure the office environment runs without disruption. You will act as the key liaison between management, vendors, and employees to maintain a safe and productive workplace. You will take ownership of inventory management, ensuring supplies are procured and tracked efficiently to avoid operational gaps. You will lead the coordination of office events and formal gatherings, managing all logistics from room booking to execution. You will document and report on all facility activities, providing clear insights to leadership for decision-making. You will uphold the highest standards of professionalism and confidentiality in every interaction. You will leverage your Kannada language skills to communicate effectively with local vendors and stakeholders.

What you'll do
- Oversee daily facility operations and office administration to maintain a smooth-running environment.
- Ensure the office premises are maintained in a safe, clean, and efficient condition at all times.
- Coordinate with builders and vendors to manage facilities such as housekeeping, security, cafeteria, electrical systems, plumbing, HVAC, DG sets, and UPS systems.
- Conduct regular facility inspections and compile findings into reports for management review.
- Coordinate with the vendor management team for the onboarding and management of office facility vendors.
- Track visitor logs meticulously and maintain records in a register for security and compliance.
- Coordinate with leadership to manage client and expatriate visits, ensuring a professional experience.
- Monitor inventory levels and initiate procurement processes to keep supplies adequate and uninterrupted.
- Lead, coordinate, and execute office events, including formal lunches, dinners, and internal gatherings.
- Liaise with building management to book additional meeting rooms, training rooms, and conference rooms as needed.
- Create a monthly dashboard detailing facility activities and present reports to management for transparency.
- Support ad-hoc workplace initiatives that improve efficiency, safety, and employee experience.
- Ensure compliance with workplace safety standards and regulatory requirements in all facility operations.
- Collaborate with cross-functional teams to align facility services with organizational goals and priorities.
Requirements
- Hold a Bachelor's degree in Facilities Management, Administration, or Human Resources.
- Bring 2-3 years of relevant experience in facility management and workplace services.
- Possess a Diploma or Certification in Facilities Management as an advantageous qualification.
- Demonstrate proficiency in speaking Kannada alongside excellent English verbal communication skills.
- Must uphold the highest level of professionalism in all workplace interactions and decision-making.
- Must maintain strict confidentiality regarding all company information and sensitive operations.
- Show capability to coordinate effectively with external vendors and internal stakeholders.
- Exhibit strong organizational skills to manage multiple facility tasks simultaneously.
- Have a proven track record of managing facility staff and deploying them for daily operational tasks.
- Understand workplace safety protocols and facility operations best practices.
- Have experience in documenting and reporting facility performance to management.
- Be comfortable managing logistics for client visits, expat accommodations, and office events.
- Familiarity with building management systems and maintenance processes is expected.

- Background in supporting expatriate teams and handling their facility requirements.
