About the role

You will establish and manage the operational hub in Guadalajara, defining the structure and standards that allow Overview AI to serve Mexican customers reliably. You own the end to end flow of inventory, from receiving goods to preparing devices and shipping them to clients across the region. This role requires you to implement and maintain inventory systems that ensure accuracy, traceability, and compliance with internal controls. You will manage relationships with customs brokers, freight forwarders, and couriers to keep goods moving smoothly across borders. You are expected to build processes from the ground up rather than inheriting outdated procedures from other regions. You will report directly to company leadership, giving you visibility and influence over critical decisions. Your work will directly determine whether customers receive equipment on schedule and with accurate configuration.

What you'll do

Establish and manage our Guadalajara office and inventory location as the central hub for Mexican operations.

Coordinate office setup, utilities, internet connectivity, security systems, access control, and ongoing vendor relationships for the physical workspace.

Implement and manage inventory processes using Cin7 to ensure accurate tracking, reporting, and control of all stock.

Maintain meticulous inventory records and stock controls, including cycle counts, adjustments, and reconciliation activities.

Receive inbound shipments, verify contents, and coordinate customer order fulfillment from receipt to dispatch.

Manage serial number tracking for devices, monitor inventory movements, and drive initiatives to improve inventory accuracy.

Support basic device preparation, configuration, and quality checks prior to shipment to meet customer requirements.

Coordinate inbound and outbound shipments throughout Mexico, optimizing routes and methods for cost and reliability.

Manage relationships with customs brokers, freight forwarders, couriers, and suppliers to ensure smooth cross-border flows.

Maintain import documentation and support compliance requirements to prevent delays or regulatory issues.

Identify and resolve logistics bottlenecks before they impact customers or damage the brand experience.

Partner with Finance on invoicing, shipment confirmations, and operational reporting to ensure data consistency and transparency.

Work closely with Sales to forecast inventory needs, manage stock levels, and support customer orders effectively.

Assist with onboarding and operational support for Mexico based employees to ensure they can perform their roles smoothly.

Develop and document procedures across inventory, fulfillment, shipping, receiving, and vendor management for clarity and scalability.

Track key operational metrics including inventory accuracy, turnaround times, shipping performance, and stock availability to guide decisions.

Continuously improve processes to increase efficiency, reduce costs, and enhance the customer experience in the Mexican market.

Requirements

You must have 5+ years of experience in operations, logistics, inventory management, supply chain, warehouse operations, or a similar hands on role that involves real execution.

You have direct experience managing inventory, shipping and receiving, order fulfillment, and vendor relationships in a fast paced environment.

You demonstrate strong organizational skills and exceptional attention to detail, with the ability to manage multiple priorities without dropping quality.

You can work independently and take ownership of outcomes, making decisions when information is incomplete and following through on commitments.

You are comfortable balancing strategic thinking with hands on execution, moving between planning and physical operations as needed.

You possess professional fluency in both English and Spanish, enabling clear communication with teams, vendors, and customers.

You are based in or near Guadalajara and able to work onsite regularly to support the office and warehouse activities.

Nice to have

Experience with inventory, ERP, or warehouse management systems, with Cin7 being a significant advantage if you have it.

Experience with imports, customs, freight forwarding, or cross border logistics, particularly in the Mexican market.

Experience establishing a new office, warehouse, or operational site, including vendor selection and process definition.

A background in hardware, manufacturing, industrial technology, robotics, IoT, or related industries that align with Overview AI focus.

Experience hiring, training, or managing operations support staff to help scale the local team.

Familiarity with serial number tracking, product configuration, or quality control processes to ensure devices meet specifications.

Practical notes

The role is full time and based in Guadalajara, requiring regular onsite presence at the office and warehouse.

Candidates must be legally able to work in Mexico and hold any necessary residency or employment documentation.

Travel within Mexico for vendor visits, customer support, or logistics checks may be required on occasion.

This position reports directly to company leadership and involves significant responsibility with minimal direct supervision.
