What you'll do
- Oversee the complete scheduling process for both virtual and in-person interviews, accommodating various departments and time zones.
- Serve as the main point of contact for candidates, addressing inquiries and providing timely updates throughout their application journey.
- Maintain accurate candidate data and pipeline information using the Ashby system.
- Support the recruiting team with logistics related to sourcing, follow-up tasks, and reporting on the hiring pipeline.
- Prepare offer letters and assist in the final stages of the recruitment process to ensure a smooth transition for new hires.
- Ensure that hiring managers deliver feedback promptly and adhere to established interview timelines.
- Enhance existing scheduling workflows and communication templates to boost overall efficiency and candidate experience.
- Collaborate with team members to identify areas for improvement in the recruitment process and implement best practices.
- Monitor candidate experience and gather feedback to continually refine our hiring approach.
- Assist in organizing recruitment events and initiatives to attract top talent.
- Participate in team meetings to discuss recruitment strategies and share insights on candidate engagement.
- Maintain confidentiality regarding sensitive candidate information and compensation details throughout the hiring process.
Requirements
- 2-4 years of relevant experience in Recruiting Coordination, People Operations, or a similar high-volume scheduling position.
- Strong communication skills, with the ability to engage professionally with candidates and internal stakeholders.
- Proven ability to manage shifting priorities in a dynamic work environment.
- Commitment to maintaining confidentiality concerning candidate and compensation information.
- Willingness to work in-office four days a week (Monday through Friday, with Wednesday being an optional remote workday).
- Proficiency in managing multiple tasks simultaneously while ensuring attention to detail.
Nice to have
- Familiarity with the Ashby applicant tracking system or similar tools.
- Experience in a high-growth startup environment, particularly within the healthcare or enterprise software industries.
- Knowledge of recruitment best practices and trends in candidate engagement.

- Expertise in interview scheduling and coordination.
- Strong data entry skills, with the ability to generate reports and analyze candidate data.
- Excellent organizational skills to manage candidate experiences effectively.
- Familiarity with communication tools and platforms for candidate engagement.
Practical notes
- Our team operates on an in-office schedule of four days per week, fostering collaboration and team cohesion.
- Candidates must reside in either the San Francisco Bay Area or New York City to be eligible for this position.
- The role offers a competitive salary range of $80,000 to $120,000, along with equity options, reflecting our commitment to attracting top talent.
