About the role
At Harvey, the Senior Systems Analyst, Recruiting Operations owns the end-to-end health of the recruiting technology stack and data integrity that powers a world-class hiring function. This role manages the configuration, optimization, and automation of the Ashby ecosystem and its downstream integrations to ensure seamless workflows from requisition open through Day

What you'll do
- Own administration, configuration, and optimization of the recruiting tech stack (Ashby, integrations, downstream systems), ensuring data integrity and seamless workflows across global teams.
- Design and implement process improvements that reduce recruiter friction, improve hiring velocity, and scale with organizational growth.
- Partner with the Analytics team to define reporting requirements, interpret recruiting data, and translate insights into actionable recommendations on pipeline health, funnel conversion, and capacity planning.
- Manage core recruiting operations workflows, including PID and requisition management, responding to recruiter and hiring manager tickets, and troubleshooting issues with offers and candidate communications.
- Identify and deploy AI-powered solutions across recruiting workflows - automating repetitive tasks, enhancing candidate experience, and enabling data-driven decision-making.
- Partner with Finance on headcount planning, People Operations on onboarding handoffs, and IT on system integrations to ensure cross-functional alignment.
- Serve as the primary point of contact for recruiters and hiring managers, triaging and resolving technical issues within the recruiting stack to minimize downtime and process bottlenecks.
- Build and maintain documentation for standard operating procedures, system configurations, and escalation paths to ensure consistency and scalability.
- Monitor system performance and data quality, conducting regular audits to identify discrepancies and drive corrections across the technology stack.
- Lead cross-functional initiatives to evaluate new tools, integrations, and AI capabilities, defining requirements and success metrics prior to implementation.
- Collaborate closely with the Analytics team to validate data models, refine reporting logic, and ensure that metrics are aligned with strategic objectives.
- Drive adoption of new features and automations by creating enablement content and working directly with recruiters to maximize platform utilization.
- Proactively identify risks in the recruiting workflow and design contingency plans to maintain continuity during system changes or outages.
- Champion the use of data and AI to continuously test, learn, and iterate on recruiting processes, ensuring that insights lead to measurable improvements.
- Act as a systems thinker, mapping dependencies across tools, teams, and processes to anticipate downstream effects and prevent unintended consequences.
Requirements
- 5-8+ years of experience in recruiting operations, HR technology, or business systems administration, with progressive ownership of a recruiting tech stack.
- Deep hands-on expertise with modern ATS platforms (Ashby strongly preferred) including configuration, workflow design, and reporting configuration/usage.
- Demonstrated track record of implementing process improvements and automation - including AI/ML tooling - that measurably improved operational outcomes.
- Strong analytical mindset with the ability to partner with Analytics on dashboards and reporting, interpret data, and translate findings into strategic recommendations.
- Systems thinking orientation - ability to map dependencies across tools, teams, and processes, and anticipate downstream effects of changes.
- Excellent cross-functional communication skills and comfort partnering with Finance, Engineering, People, and IT stakeholders.
- Proven experience managing complex operational workflows and troubleshooting issues in enterprise-grade recruiting systems.
- Commitment to maintaining data integrity, process rigor, and high standards in all aspects of recruiting operations.
