Core Responsibilities

The Marketing Operations Assistant serves as a critical pillar supporting the end-to-end execution of marketing initiatives. This role ensures financial accuracy, logistical coordination, and data-driven reporting to maintain campaign momentum and operational efficiency.

• Financial Administration: You will manage the reconciliation of marketing budgets, process vendor invoices, and meticulously track all receipts to ensure financial accuracy.
• Cross-Functional Coordination: You will act as the primary liaison for physician formulators, managing script approvals and regulatory documentation. You will also coordinate the scheduling and logistics for all PR and media interviews.
• Campaign and Creator Management: You will oversee the execution of UGC and affiliate creator campaigns, including product seeding, inventory tracking, and monitoring the status of sample shipments.
• Reporting and Project Management: You will consolidate monthly brand reporting across cross-functional teams, proactively following up to ensure timely submissions. You will also track key timelines for packaging and product updates within the Hive project management platform.
• Process Optimization: You will organize and streamline intake workflows to ensure data moves efficiently from request to approval. Additionally, you will build and maintain process maps for marketplace selling and cross-functional project tasks.
• Performance Analysis: You will review campaign metrics to identify performance trends and provide insights to refine future creator partnership strategies.
• Partner Enablement: You will support global partners by aligning timelines and ensuring all handoffs meet the highest standards for quality and consistency during rollouts.

Required Qualifications and Skills

Success in this role requires a unique blend of technical aptitude, personal discipline, and communication skills.

• Financial Acumen: You must be comfortable handling invoices, receipts, and budget reconciliation with consistent attention to detail.
• Exceptional Organization: Detail orientation is non-negotiable and must be evident in your documentation and process management for every marketing activity.
• Proactive Communication: You will excel at follow-up and accountability, utilizing clear and professional written communication to interact with vendors, influencers, and agencies.
• Multitasking Capability: You must thrive in a fast-paced environment, managing multiple tasks, deadlines, and timelines simultaneously without sacrificing quality.
• Language Proficiency: Fluency in English is required to support all interactions and the production of professional documentation.
• Technical Setup: You must possess a USB headset with noise cancellation, a working webcam, and a computer with a minimum 1.8 GHz processor and 4GB RAM.
• Internet Connectivity: Your main internet service must be at least 25 Mbps cable, with a backup connection of no less than 10 Mbps to ensure continuity.

Preferred Tools and Experience

While not mandatory, prior experience with specific platforms will accelerate your effectiveness in this role.

• Experience with Hive, Asana, ClickUp, or Monday.com is a valuable qualification.
