About the role
The Scheduling Coordinator is responsible for owning the end-to-end management of patient appointment lifecycles within the House Calls division. This role owns the daily scheduling workflow, ensuring that patient needs are matched accurately with provider availability across the designated service areas. The hire will prioritize the coordination of urgent care needs and manage the rescheduling of existing appointments to maintain continuity of care. They own the integrity of patient data by updating account and chart information at the point of scheduling. This position serves as the primary liaison with referring sources to resolve access barriers and maintain strong referral relationships. The Scheduling Coordinator will also place necessary calls to patients on behalf of providers and manage all incoming voicemails to ensure timely responses. Ultimately, this role ensures that provider daily appointment quotas are met while fostering new patient access within the specified timeframe.

Coordinate and schedule patient appointments in strict adherence to provider availability and geographic area constraints.
Prioritize urgent appointment tasks and schedule them accordingly to meet immediate patient healthcare needs.
Assure that all messages are completed and distributed appropriately across the care team.
Reschedule patient appointments dynamically as needed to maintain operational flow and patient satisfaction.
Review and update patient insurance information at the point of scheduling to prevent service delays.
Manage a high-volume workload effectively, prioritizing tasks to remain organized and promote prompt, courteous service.
Display excellent communication skills across all interactions with patients, providers, and internal staff.
Reach out to referring sources for patients expressing difficulty with scheduling to overcome access barriers.
Update account information accurately at the point of scheduling to maintain data integrity.
Maintain provider daily appointment quota to ensure operational and productivity targets are achieved.
Have new patients scheduled within 3-5 business days to facilitate timely initiation of care.
Process insurance preauthorization as required to support patient access to services.
Place calls to patients on behalf of providers to relay clinical information or confirm appointments.
Handle voicemails daily and ensure all inquiries are handled properly with appropriate follow-up.
Correctly notate patient charts to maintain up-to-date accuracy for clinical and administrative review.
Requirements
High School Diploma / GED required; Associate or Bachelor's Degree preferred.
Administrative healthcare experience preferred to ensure familiarity with clinical workflows.
Attention to detail is mandatory to ensure accuracy in scheduling and data management.
Ability to navigate several software databases throughout the day to access and update patient information.
Maintain a calm and pleasant demeanor with patients and staff to de-escalate stressful situations.
Effective communication across various mediums of communication with staff and patients is essential.
Strong written skills are required for chart notation and correspondence.
Capable of managing high volumes of phone calls without compromising quality or accuracy.
Must be authorized to work in the United States and not require company sponsorship for any visa or employment authorization now or in the future.
Must be able to commute to or relocate to Atlanta, GA 30345, United States for this role.
Must be at least 18 years of age to comply with jurisdictional employment regulations.
