About the role
The Scheduling Coordinator owns the core scheduling operations for the House Calls department, directly influencing patient access and care continuity. This professional is responsible for orchestrating appointment timelines to align with provider availability and regional requirements while maintaining high standards of service. They own the end-to-end management of scheduling workflows, ensuring that every appointment is processed accurately and efficiently. The role requires proactive communication with both internal teams and external referring sources to resolve potential conflicts. They monitor and adjust schedules dynamically to accommodate urgent care needs and operational priorities. This position ensures that new patient onboarding meets defined timeframes and that account information remains current and precise. The Scheduling Coordinator acts as a key liaison to support the organization's mission of delivering trusted, in-home medical services.

What you'll do
Schedule patient appointments in adherence to Provider availability and area.
Prioritize urgent appointment tasks and schedule them accordingly.
Assure that all messages are completed and distributed appropriately.
Reschedule patient appointments as needed based on changing circumstances.
Review and update patient insurance information during the scheduling process.
Manage a high-volume workload, effectively prioritizing tasks to remain organized and promote prompt, courteous service.
Display excellent communication skills across all interactions with staff and patients.
Reach out to referring sources when patients express difficulty with scheduling or access.
Update account information at the point of scheduling to maintain data integrity.
Maintain provider daily appointment quotas to meet operational targets.
Ensure new patients are scheduled within 3-5 business days of referral.
Process insurance preauthorization in a timely and accurate manner.
Place calls to patients on behalf of providers when clinical needs require follow-up or clarification.
Handle voicemails daily and ensure all inquiries are addressed properly and promptly.
Correctly notate patient charts to maintain ongoing accuracy and support continuity of care.
Requirements
High School Diploma or GED is required; an Associate or Bachelor's Degree is preferred for this role.
Bring administrative healthcare experience to the position, as this background is preferred for operational success.
Demonstrate strong attention to detail in all scheduling and documentation tasks.
Navigate several software databases throughout the day to access and update patient information.
Maintain a calm and pleasant demeanor when interacting with patients and staff in all situations.
Practice effective communication across various mediums with staff and patients to ensure clarity and understanding.
Apply strong written skills in written correspondence and documentation within scheduling systems.
Capably manage high volumes of phone calls while maintaining organization and service standards.
Nice to have
Preferred candidates will have prior experience in administrative healthcare settings, particularly within scheduling or intake roles.
Experience with remote patient monitoring, chronic care management, or behavioral health management programs is advantageous.
Familiarity with Ennoble Care's service model, including house calls, palliative care, and hospice support, is beneficial.
Comfort using technology platforms for remote patient monitoring and scheduling tools enhances efficiency in this role.

This is a full-time, in-person position based in Jenkintown, Pennsylvania.
The work schedule aligns with standard business hours to support appointment scheduling and provider coordination.
No travel is required for this role as all responsibilities are conducted from the Jenkintown office.
