About the role
You will own the end-to-end scheduling lifecycle for the House Calls department in Waco, TX, ensuring that patient care remains continuous and timely. You will manage a high-volume calendar that balances provider capacity with patient urgency while maintaining strict adherence to clinical and operational standards. You will act as the primary scheduling liaison between providers, patients, and referral sources to resolve access barriers. You will verify insurance eligibility and authorization details at the point of scheduling to prevent claim denials and service delays. You will prioritize complex cases and adjust schedules dynamically to accommodate changing clinical needs. You will maintain meticulous documentation in patient charts to support clinical accuracy and compliance. You will monitor daily appointment quotas and proactively manage the schedule to meet productivity targets. You will represent Ennoble Care with professionalism and empathy in every interaction with patients and providers.

What you'll do
Schedule patient appointments while rigorously adhering to Provider availability and regional coverage constraints.
Prioritize urgent appointment tasks and dynamically reschedule the calendar to address immediate clinical needs.
Complete and distribute all messages to ensure seamless communication across clinical teams and departments.
Reschedule patient appointments promptly when conflicts or clinical requirements arise.
Review and update patient insurance information to confirm current coverage and benefit details.
Manage a high-volume workload by effectively prioritizing tasks to remain organized and promote prompt, courteous service.
Display excellent communication skills through clear, professional verbal and written exchanges with stakeholders.
Reach out to referring sources to address scheduling difficulties and coordinate access for patients in need.
Update account information at the point of scheduling to maintain accurate and current records.
Maintain provider daily appointment quotas to ensure operational efficiency and patient access targets.
Schedule new patients within 3 to 5 business days to uphold timely access to care standards.
Process insurance preauthorization as required to support service delivery and reimbursement.
Place calls to patients on behalf of providers to relay clinical information or confirm appointment details.
Handle voicemails daily and ensure all inquiries are addressed thoroughly and in a timely manner.
Correctly notate patient charts to preserve up-to-date accuracy for clinical, billing, and compliance purposes.
Requirements
Hold a High School Diploma or GED; an Associate or Bachelor's Degree is preferred for this role.
Bring Administrative healthcare experience to the position, as this background is valued for operational efficiency.
Demonstrate Attention to detail in every scheduling task to prevent errors and ensure data integrity.
Navigate several software databases throughout the day to access patient records, scheduling tools, and insurance systems.
Maintain a calm and pleasant demeanor when interacting with patients, providers, and internal staff in all situations.
Practice effective communication across various mediums of communication with staff and patients, including phone, email, and chat.
Show strong written skills when documenting patient information and internal correspondence.
Capable of managing high volumes of phone calls while maintaining accuracy and responsiveness.
Be prepared to disclose any current or future need for employment-based immigration sponsorship, including OPT, STEM OPT, or visa sponsorship, before an offer of employment is extended.

Nice to have
Preferred candidates will have prior experience in remote patient monitoring, behavioral health management, or chronic care management environments.
Experience with referral sources and care coordination in home-based clinical services is favored.
