The Scheduling Coordinator owns the end-to-end management of appointment lifecycles for the House Calls department, ensuring that patient care plans are executed without disruption. This role owns the daily scheduling cadence, balancing provider capacity with patient demand while safeguarding clinical timelines. The hire will prioritize urgent clinical needs, dynamically adjusting the schedule to maintain continuity of care. They own the integrity of patient data at the point of entry, updating account and insurance details with precision. Communication ownership spans calls, messages, and referrals, ensuring every interaction resolves efficiently. The coordinator acts as the central hub for referring sources, managing inbound inquiries and removing barriers to access. They maintain provider quota adherence while proactively reaching out to patients and sources to resolve scheduling friction. Ultimately, the role owns the schedule as a living system that supports clinical excellence and patient trust.

What you'll do
Schedule patient appointments in strict adherence to provider availability and designated service areas.
Prioritize urgent appointment tasks and integrate them into the daily schedule based on clinical urgency.
Assure that all messages are completed, tracked, and distributed to the appropriate care team members.
Reschedule patient appointments efficiently to accommodate changing clinical needs and provider constraints.
Review and update patient insurance information at the point of scheduling to ensure coverage accuracy.
Manage a high-volume workload by effectively prioritizing tasks to remain organized and promote prompt, courteous service.
Display excellent communication skills across verbal, written, and digital channels with staff and patients.
Reach out to referring sources when patients express difficulty with scheduling or access barriers.
Update account information at the point of scheduling, including contact details and clinical history markers.
Maintain provider daily appointment quotas to ensure operational and clinical productivity targets are met.
Have new patients scheduled within 3 to 5 business days of referral to support timely care initiation.
Process insurance preauthorization requests in collaboration with clinical and administrative teams.
Place calls to patients on behalf of providers to confirm appointments, instructions, or follow-up needs.
Handle voicemails daily and ensure all inquiries are addressed through timely and accurate follow-up.
Correctly notate patient charts during scheduling to maintain up-to-date accuracy for clinical and billing purposes.
Requirements
High School Diploma or GED is required; an Associate or Bachelor's Degree is preferred for this role.
Administrative healthcare experience is preferred to ensure familiarity with clinical scheduling workflows.
Demonstrate attention to detail when managing patient data, appointments, and documentation.
Navigate several software databases throughout the day to access and update patient and scheduling information.
Maintain a calm and pleasant demeanor when interacting with patients, providers, and internal staff.
Practice effective communication across various mediums, including phone, email, and messaging platforms.
Show strong written skills to compose clear, accurate, and professional correspondence.
Capable of managing high volumes of phone calls while maintaining accuracy and empathy.
Nice to have
Preferred candidates will have prior experience in ambulatory care, home health, or similar clinical support environments.
Experience with remote patient monitoring or chronic care management platforms is advantageous.
Familiarity with electronic health record systems and insurance verification processes is preferred.

This is a full-time, in-person position based in Marlton, New Jersey.
Candidates must be able to commit to the scheduled hours of operation as defined by clinical workflow needs.
