About the role
Zeta Global is seeking a dedicated Project Manager to oversee the successful delivery of projects within a specific customer portfolio. This role requires coordinating efforts among internal teams and client stakeholders to ensure smooth execution and effective communication throughout the project lifecycle. The Project Manager will be responsible for managing both ongoing retainer work and smaller projects, ensuring that deliverables meet quality standards, timelines, and client expectations. The position involves close collaboration with Senior Project Managers and Program Managers to handle more complex implementations, providing support and guidance as needed. The ideal candidate will have a strong background in project management within a client-facing environment, with excellent organizational and communication skills to facilitate seamless project delivery and stakeholder engagement.

What you'll do
- Lead the delivery of services for a designated customer portfolio, managing both retainer agreements and smaller projects to ensure client satisfaction and project success.
- Act as the primary point of contact for clients, maintaining clear, proactive communication to manage expectations and address concerns promptly.
- Oversee project governance activities, ensuring adherence to company standards, quality control, and client requirements throughout the project lifecycle.
- Manage project scope, timelines, and budgets, tracking progress and making adjustments as necessary to meet deliverables.
- Identify, track, and mitigate project risks, issues, and dependencies, maintaining logs and developing mitigation strategies to minimize impact.
- Plan and forecast retainer activities, including resource allocation, delivery schedules, and workload balancing across teams.
- Handle financial management of retainers, including tracking expenditures, forecasting future costs, and managing invoicing inputs, all while proactively identifying potential financial risks.
- Lead smaller projects and single-consultant assignments, ensuring scope clarity, stakeholder engagement, and timely resolution of issues.
- Collaborate closely with Senior Project Managers and Program Managers on complex projects, managing dependencies and ensuring alignment with client expectations.
- Coordinate internal resources across various workstreams, balancing priorities and addressing resource constraints to ensure project milestones are met.
- Facilitate governance meetings with clients and internal teams, such as project kickoffs, status updates, and executive reviews, to ensure transparency and alignment.
- Maintain comprehensive logs for risks, issues, and dependencies, regularly reviewing and updating them to inform project decision-making.
- Work with Customer Success and Sales teams to support account planning, identify new opportunities, and ensure service delivery aligns with client objectives.
- Prepare and deliver reports to clients and executives, providing updates on project status, key performance indicators, and overall progress.
- Identify recurring challenges or bottlenecks in project delivery and recommend process improvements to enhance efficiency and effectiveness.
- Ensure compliance with company policies and standards, including documentation, reporting, and quality assurance procedures.
- Support onboarding of new clients or projects, ensuring smooth transitions and clear understanding of scope and expectations.
- Foster a collaborative team environment, encouraging open communication and continuous improvement among team members.
- Stay informed about industry best practices and incorporate relevant methodologies to improve project management processes.
Requirements
- Bachelor's degree in Business Administration, Project Management, Marketing, Information Technology, or a related discipline.
- At least 3 years of experience managing projects within a client-facing environment, preferably in a digital or technology-focused setting.
- Proven ability to manage multiple projects simultaneously, including retainers and smaller projects, with conflicting priorities.
- Strong track record of managing project scope, timelines, budgets, risks, and stakeholder expectations effectively.
- Experience working across cross-functional teams, coordinating resources, and managing dependencies in complex organizational structures.
- Demonstrated success in leading client governance meetings, executive reviews, and status reporting to various stakeholders.
- Familiarity with project financial management, including forecasting, budget tracking, and resource planning.
- Knowledge of project management methodologies such as Agile, Waterfall, or hybrid approaches.
- Excellent organizational skills, with the ability to prioritize tasks and manage time effectively.
- Strong communication skills, both written and verbal, in English, to facilitate clear and professional interactions with clients and internal teams.
- Ability to adapt to changing project requirements and work under pressure to meet deadlines.
- Experience with project management tools and software is preferred but not mandatory.
- Knowledge or experience in software, SaaS, MarTech, AdTech, CRM, customer experience, or digital transformation projects is a plus.
Nice to have
- Certifications such as Project Management Professional (PMP), PRINCE2, Agile Project Management, Scrum Master, or similar are highly desirable but not mandatory.
- Additional language skills beyond English are a plus but not required.
- Experience working in a multicultural or international environment.
- Familiarity with ITAR compliance or other regulatory standards relevant to client projects.
