As a systems-minded builder, you will operate in the often-messy space between Sales, Delivery, and Finance. You thrive where others see ambiguity, moving quickly to establish order without waiting for direction. Marketwake possesses significant momentum, a talented team, and a clear vision; this position is the critical hire tasked with converting that vision into durable, repeatable structure. You will report directly to the CEO and function as a peer to department leads.
The primary mission is to architect and implement robust operational systems. You will conduct a thorough audit of existing tools and workflows to identify redundant processes, coverage gaps, and manual tasks ripe for automation. Your responsibility is to build and maintain the comprehensive operational playbook, documenting standard operating procedures, handoff protocols, and defined escalation paths. A core focus will be leading systems integration across platforms such as HubSpot, Asana, and financial tools to eliminate tribal knowledge and strengthen handoffs, thereby creating a cohesive operational ecosystem.
Within the realm of Revenue Operations, you will own the entire revenue workflow. This encompasses the journey from a signed contract through project kickoff and ultimately to invoicing, with the goal of eliminating friction between Sales, Delivery, and Finance. You will build and maintain executive dashboards that provide real-time visibility into revenue, pipeline health, and resource utilization. Collaboration with Sales and Delivery is essential to standardize scoping frameworks, define pricing tiers, and refine proposal logic, ensuring alignment and minimizing rework.
Financial Operations form another critical pillar of this role. You will partner closely with Finance to develop forecasting models, track actual performance against projections, and flag potential risks early. This includes owning the operational budget, managing vendor relationships, and controlling tooling spend. You will also support detailed margin analysis by service line, providing insights that inform strategic pricing and resourcing decisions to protect and enhance profitability.
You will also establish Team Operating Systems and Drive Internal Enablement. This involves documenting how each team functions, including meeting cadences, communication norms, and defined escalation paths. You will build team-level playbooks that accelerate new hire ramp-up and preserve institutional knowledge. A key duty is identifying where teams are spinning-where unclear ownership, duplicated effort, or missing handoffs cause inefficiency-and then fixing the root cause. You will translate high-level strategy into concrete operational workflows that department leads can directly hand to their teams. also, you will construct accountability structures for cross-functional work, clarifying ownership, timelines, and tracking methods.
As the business evolves, you will hire and develop a dedicated internal Operations function. In this leadership capacity, you will serve as a strategic thought partner to the CEO. Your input will be vital on matters of growth decisions, the viability of new service lines, and the structural design of the organization. You will ensure that operations remain a strategic advantage, not a reactive afterthought.
To succeed in this position, you must bring 5-8 years of experience in operations, revenue operations, or business operations, ideally gained within an agency or services environment. It is essential that you have a proven track record of building operational infrastructure from the ground up, rather than merely maintaining existing setups. You must possess strong systems thinking and demonstrate hands-on experience with HubSpot, Asana, and financial tools. Comfort with data is non-negotiable; you should be able to build a dashboard, interpret a profit and loss statement, and identify trends within numerical data. A high ownership mentality is required, meaning you identify problems and resolve them proactively without being prompted. Clear communication skills are vital, as you will navigate Sales, Delivery, and Finance effectively without relying on formal authority. Experience managing or mentoring others is an advantage; a demonstrated interest in building a robust operations team is required.
A strong interest in developing structured playbooks that foster team independence and scalability is considered a valuable asset. Your expertise will center on core tools such as HubSpot, Asana, and Financial platforms.
