Your function is to act as a remote extension of the legal team, safeguarding the accuracy and consistency of depositions and other digital sessions. You will verify identities, manage procedural order, and transform spoken testimony and physical documents into clear, structured digital records that populate the Filevine ecosystem. This role requires a professional who understands the weight of a notary public commission and can apply it within a modern, technology-driven legal environment. Your work directly supports the reliability of the data that fuels Filevine's AI and operational platforms, ensuring that every proceeding maintains clarity, context, and compliance.
What You'll Do
Your responsibilities will focus on orchestrating seamless and accurate remote legal sessions. You will organize intake procedures to verify signer identity and confirm session readiness before proceedings begin. Using browser tools, you will manage Zoom links and assist participants with technical setup to ensure a smooth start. During the session, you will capture deposition details in real time to support the generation of accurate transcripts and legal records. You will guide participants through document reviews while meticulously noting timestamps and procedural checkpoints. It is essential that you flag any workflow interruptions to maintain Filevine's single source of truth for every matter. You will coordinate with remote teams to align on context, ensuring clarity before proceeding to the next phase of the legal process. This includes shipping reliable session data so downstream legal teams can act on timely, structured information. You will partner with technology vendors to refine digital reporting standards across Filevine platforms and coordinate the flow of information between signers, clients, and Filevine staff to reduce confusion. Maintaining a detailed log of session events will be required to support audits, reviews, and compliance requirements. You will also verify that all technical components are functional before officially starting a deposition and provide clear verbal guidance to participants who may be unfamiliar with remote legal processes. Ultimately, you will ensure that every document and signature is captured in strict alignment with Filevine operational protocols.
Requirements
To qualify for this Wisconsin Notary Public position, you must meet specific criteria designed to ensure the highest level of procedural integrity.
