About the role
Everlaw is seeking an experienced Renewals Specialist to begin our journey toward a contract renewal center of excellence. You will be the first hire in pursuit of a larger, specialized team, to prove out the concept of opportunity management efficiency. You will partner with Customer Success Managers, Account Executives, Strategy and Operations, Legal and Finance experts to forecast, manage and close renewal opportunities productively and efficiently. You will own T‑120 orchestration, renewal opportunity & quote administration, forecasting, and system hygiene across SFDC/QTC/Ironclad/Gainsight. This role is not designed to be customer facing, but you may support ad hoc with direct customer communications as needed, primarily via email. Your work will have a meaningful impact on our customers' success and Everlaw's bottom line.
Key facts
What you'll do
Drive operational close for renewals by shepherding agreements through Ironclad, confirming dates and terms, obtaining signatures, managing slips or extensions, and keeping opportunity and quote data accurate.
Own the end‑to‑end T‑120 renewal motion, from creating and maintaining the renewal plan to tracking milestones, coordinating internal stakeholders, and ensuring deals are executed on time.
Become a go‑to expert on our Quote‑to‑Cash systems, billing models, and internal tech stack (Salesforce, Gong, Ironclad, Gainsight), quickly building the context needed to manage renewals efficiently.
Improve renewal forecast accuracy and pipeline hygiene by owning key forecasting fields (e.g., forecasted MRR, categories, stages, notes) and participating in T‑120 and weekly renewal forecast rhythms as the accountable pipeline owner.
Partner closely with AEs and CSMs to clarify quote ownership, dates, products, and amounts; manage auto‑renew settings and manual renewals; support churn reporting and reasoning; and act as a billing expert for complex or edge‑case customer scenarios.
Identify and implement process improvements across renewal operations to increase efficiency, reduce risk, and elevate the overall customer experience.
Support ad hoc with direct customer communications as needed, primarily via email, ensuring that all interactions align with Everlaw's values and standards.
Use your experience to build trusted, credible relationships with cross‑functional partners while modeling Everlaw's standards and values in every interaction.
You will contribute to shaping the Renewals Specialist function by experimenting with and codifying processes, informing best practices, and defining account load as the team scales.
Your work will directly influence customer success and retention by ensuring that renewal opportunities are forecasted, managed, and closed with precision and timeliness.
Requirements
You have at least 3 years of experience as a Renewals Specialist within a SaaS environment.
You are confident working autonomously as the first member of the Renewals Specialist team, building trusted, credible relationships with cross‑functional partners while modeling Everlaw's standards and values.
You are an exceptional communicator who shares clear updates, surfaces risks early, and builds alignment across stakeholders in writing, in presentations, and in conversation.
You are deeply customer‑centric and commercially minded, using your understanding of company economics to weigh risks and tradeoffs and make sound, in‑the‑moment decisions.
You are a builder at heart: you help shape the Renewals Specialist function by experimenting with and codifying processes, informing best practices and account load, and consistently delivering against growing responsibilities.
You are comfortable navigating complex SaaS contract structures, including auto‑renewal settings, quote terms, and billing nuances, and you use that knowledge to reduce friction in the renewal journey.
You demonstrate strong ownership by maintaining accurate records in SFDC/QTC/Ironclad/Gainsight and by following through on commitments to stakeholders.
You are proactive in identifying risks and dependencies early, coordinating with Legal, Finance, and Customer Success to keep renewals moving smoothly.
Practical notes
This is a full-time, exempt, on-site position located in our Oakland, CA office with a hybrid work schedule: in office M/W/Th with the option to work from home on Tu/Fr.
