As a Workplace Assistant, you will play an important role in creating a welcoming, organized, and seamless experience for everyone working from or visiting our office. You will be the main connection between Ebanx and our coworking provider, making sure things run smoothly while providing hands-on support to our local ebankers and collaborating closely with our global Workplace and People teams.
What you'll do
Be present and available in the office, providing hands-on support to ebankers and helping ensure they have a smooth and positive workplace experience. Act as the main point of contact between Ebanx and our coworking provider, quickly addressing operational needs and helping keep the office running smoothly. Be a go-to person for office-related questions and requests, solving day-to-day needs whenever possible and connecting ebankers with the right teams when necessary. Support the local People team with administrative, operational, and employee-related demands, helping the team respond efficiently to everyday needs. Coordinate office supplies, pantry items, deliveries, operational requests, and interactions with vendors. Support Workplace purchasing and financial routines, including creating Purchase Requisitions (PRs) in SAP, following approval processes, managing invoices, and organizing related documentation. Assist with the administrative management of Workplace contracts, payments, and vendor documentation. Work closely with our global Workplace team in Brazil, providing local support and helping translate global initiatives into a great local workplace experience. Support the planning and execution of internal events, employee engagement activities, office initiatives, and other moments that bring our culture to life. Anticipate office needs, identify opportunities for improvement, and take initiative to solve operational challenges. Jump in and support different Workplace and People initiatives whenever needed, bringing flexibility, collaboration, and a hands-on attitude to the team. Maintain a high level of ownership and discretion when handling sensitive information, vendor interactions, and internal processes. Ensure workplace tools and systems are used effectively to streamline daily operations and reporting. Promote a positive and efficient office environment by collaborating daily with colleagues and partners to remove friction and enhance the employee experience.
Requirements
High school diploma. Previous experience in Administrative Support, Workplace, Facilities, Office Administration, People Operations, or similar roles. Availability to work on-site on a daily basis. A proactive, agile, and hands-on mindset, with the ability to quickly respond to different requests and changing priorities. Strong organizational and prioritization skills, with the ability to manage multiple activities while keeping attention to detail. Comfort using digital tools and platforms to manage administrative tasks and communications. Fluency in Spanish is required; fluency in Portuguese is a strong asset for interacting with regional teams and vendors. Willingness to follow internal processes and collaborate consistently with global and local stakeholders.
