This Live Event Talent Producer role is central to executing our vision for a high-profile live fashion competition, where you will own the complete pipeline from initial outreach to final on-site execution. You will be responsible for ensuring that every contestant is sourced, evaluated, and prepared to deliver a memorable performance under pressure. The position requires a rare blend of operational precision and empathetic communication to manage high-profile stakeholders. Ultimately, your work will directly shape the energy and quality of the live experience for audiences and clients alike.

What you'll do
- Execute a comprehensive outreach strategy to colleges, programs, and communities to generate a robust pipeline of high-quality submissions that meet creative and eligibility standards.
- Design and manage an end-to-end contestant intake system, ensuring eligibility screening, timely communications, and meticulous tracking within a centralized database.
- Build and maintain clear, scalable workflows using templates, trackers, and communication cadences that accommodate rapid growth and evolving requirements.
- Orchestrate a seamless virtual selection process, including platform configuration, technical rehearsals, judge onboarding, and the implementation of reliable scoring rubrics.
- Serve as the primary liaison for high-profile talent, judges, clients, and crew, communicating with consistent clarity, warmth, and professionalism in all contexts.
- Implement detailed contestant onboarding and readiness protocols to ensure selected participants are fully prepared, informed, and confident before event week.
- Lead on-site operations during event days, resolving issues quickly and discreetly to maintain a calm, efficient environment that protects the show experience.
- Coordinate VIP and celebrity interactions, managing schedules, logistics, and expectations to ensure a high-touch experience for all stakeholders.
- Develop comprehensive post-event follow-up processes that maintain relationships, gather feedback, and identify opportunities for future collaboration.
- Act as the foundational talent producer for the competition, expanding responsibilities to cover broader event production needs as trust and scope increase.
- Partner with internal teams to develop outreach materials, ensuring all content aligns with brand voice, creative direction, and legal compliance.
- Monitor and analyze key performance indicators related to applicant volume, diversity, and retention to inform strategic improvements.
- Maintain strict confidentiality regarding sensitive information, casting notes, and client feedback at all times.
- Adapt to last-minute changes with agility, demonstrating resourcefulness and a solutions-oriented mindset under pressure.
- Provide concise, structured recaps, clear deadlines, and proactive next steps to keep all internal and external stakeholders aligned.
Requirements
- You have managed large talent pools in entertainment, casting, or live events, moving a high volume of people through a structured selection process.
- You possess strong prioritization and time management skills, capable of balancing multiple deadlines and shifting priorities.
- You are systems-first, creating and managing databases, templates, and workflows that scale efficiently.
- You communicate effectively with high-profile talent, judges, clients, and crew, maintaining warmth and professionalism.
- You operate with a high degree of discretion, professionalism, and trust when handling sensitive information.
- You remain calm under pressure and are resourceful when plans change unexpectedly or require rapid adjustment.
- You write clearly and follow through consistently, ensuring that commitments are met and expectations are managed.
- You are legally authorized to work in the United States and able to meet the contractual terms of the engagement.
Nice to have
- Experience in unscripted casting, competition show production, or segment producing.
- A genuine connection to fandom culture, pop culture, or the Broadway/entertainment community.
- Experience producing in large venue environments such as arenas, convention centers, and ballrooms.
Practical notes
- Availability: Approximately 10-20 hours per week, with flexibility to scale as the position grows.
