About the role
You will serve as the primary point of contact for on-site events, ensuring that every guest interaction reflects Northmarq's standards of professionalism and excellence. This role owns the end-to-end execution of meetings, recognition programs, client events, conferences, sponsorships, and trade shows from initial concept to post-event reporting. You will partner closely with the Brand and Experience team to drive operational efficiency and enhance cross-departmental collaboration. The position requires you to act as an ambassador for Northmarq, representing the brand at every touchpoint with clients, employees, and external partners. You will manage logistical details and project timelines to deliver seamless experiences that reinforce the firm's market leadership. Your work will directly support the growth of Northmarq's meetings and events function by establishing scalable processes and consistent standards.

What you'll do
Coordinate all administrative tasks for events, including sponsorship deadlines, event platform configuration, attendee registrations, sourcing and ordering branded gifts, preparing nametags, table hosting systems, inbound and outbound event shipping, deploying post-event surveys, and post-event reporting.
Support a defined portfolio of smaller-scale targeted and regional events to guarantee smooth execution and optimal client experience, working with industry partners to establish contracts, coordinating on-site tradeshow exhibits and branding, ordering promotional materials, ordering food and beverage, managing budgets, and soliciting feedback from attendees, and reporting results.
Assist with larger-scale events by handling sponsorship logistics, determining room layouts and setup requirements, arranging food and beverages, managing audiovisual needs, preparing materials, sourcing and ordering branded gifts, and coordinating sponsorship assets.
Maintain the team's event and promotional material inventory, including branded merchandise, tradeshow assets, gifts, and event materials, ensuring accurate tracking and timely replenishment.
Provide on-site day-of event support, including setup, registration, troubleshooting, vendor management, attendee experience oversight, tear-down, and post-event follow-up to ensure continuity and client satisfaction.
Print and organize all critical documents required on-site, such as attendee lists, BEOs, and floorplans, verifying accuracy and readiness before events.
Proof documents prior to print, such as attendee name badges, directional signage, and other event materials, to eliminate errors and uphold brand quality.
Work with the Brand and Marketing teams to order, inventory, and track branded merchandise, aligning stock levels with campaign timelines and event schedules.
Organize on-site (Minneapolis) supplies of branded merchandise, maintaining storage systems and inventory controls to support efficient event activation.
Support the Brand and Creative team with ad-hoc projects as requested, demonstrating flexibility and responsiveness to evolving business needs.
Assist with the management of Northmarq's meetings and events calendar, ensuring that all deadlines, dependencies, and stakeholder requirements are tracked and met.
Maintain department files and records related to events, contracts, and vendor information to facilitate knowledge sharing and operational continuity.
Requirements

Candidates must be located in or be willing to relocate to Minneapolis, Minnesota, United States, as this role requires on-site presence at the headquarters office.
