You will manage the front office operations of a high performing school site in Brooklyn, New York, ensuring a welcoming and efficient environment for students, staff, and families. You will serve as the primary point of contact for visitors, parents, and community members, directing inquiries and coordinating support as needed. In this role, you will leverage your bilingual skills in Spanish to communicate effectively with diverse stakeholders and uphold the school's standards of professionalism. You will utilize the BrightBee app to claim and manage assignments across multiple school sites, adapting to varying schedules and needs. Your work will directly support school success by maintaining organized office systems and facilitating smooth daily operations. You will contribute to a positive school culture by demonstrating reliability and a service-oriented mindset. What you'll do
- Greet visitors, parents, and community members professionally, directing them to the appropriate staff or resources.
- Answer incoming phone calls and emails in both English and Spanish, providing accurate information and support.
- Manage office schedules and coordinate meeting room usage for staff and families.
- Process student check-in and check-out procedures efficiently and in compliance with safety protocols.
- Handle office supplies inventory, placing orders and maintaining organized storage areas.
- Assist with the distribution of school mail, packages, and official communications.
- Support the implementation of school initiatives by collecting and organizing necessary documentation.
- Monitor building entrances and hallways to ensure a secure and orderly environment for students.
- Collaborate with teachers and administrators to coordinate classroom needs and special events.
- Maintain student and staff records with attention to privacy and data security standards.
- Provide translation and interpretation support in Spanish during meetings and office hours.
- Perform general clerical duties such as photocopying, scanning, and filing as required.
- Communicate regularly with the BrightBee platform to confirm assignment details and submit timesheets.
- Demonstrate flexibility in work assignments across multiple school sites in the Brooklyn area.
Requirements
You must hold a high school diploma or equivalent credential.
You must be fluent in Spanish and capable of conducting professional communication in both Spanish and English.
You must be able to commute to various school sites in the Brooklyn area, including the primary location and additional sites as needed.
You must be available to work consistent full school day shifts, typically from 7:00 AM to 4:00 PM, five days per week.
You must successfully undergo a background check as required for school site access.
You must comply with all safety and reporting guidelines established by the school and BrightBee.
You must be an independent contractor responsible for managing your own clearance costs, including background checks and mandated reporter training.
You must be willing to provide authorization for BrightBee to contact former employers for verification purposes.
You must be capable of lifting up to 30 pounds and standing for extended periods while performing office duties.
Practical notes
This engagement is for independent contractor work, and you will use the BrightBee app to accept assignments and receive payment one week after completion.
You will work at the school site located at 6565 Flatlands Ave, 3rd Floor, Brooklyn, NY 11236, with potential assignments at additional locations including 1485 Pacific St, Brooklyn, NY 11216, 832 Marcy Ave, 4th Floor, Brooklyn, NY 11216, and 999 Jamaica Ave, 2nd Floor, Brooklyn, NY 11208.
You should be prepared to commit to 5 days per week of consistent work throughout the school day.
Costs associated with clearance processes, such as background checks and mandated reporter training, are your responsibility as an independent contractor.
