About the role
Bamboohr is looking for a Deputy UK Facilities Manager to join their team based in Liverpool, Merseyside. This full-time position serves as the second-in-command for UK facilities operations, supporting the overall management of building services, maintenance, and workplace standards across the company's UK portfolio. The role involves overseeing day-to-day facilities activities, coordinating with internal and external stakeholders, and ensuring that all sites meet health, safety, and regulatory requirements. The Deputy UK Facilities Manager will step in to lead the facilities function when needed and contribute to strategic planning for asset and space management. You will work closely with the UK Facilities Manager to drive continuous improvement in service delivery, manage capital expenditure projects, and uphold the company's commitment to safe, efficient, and well-maintained working environments at every location. As part of the leadership team, you will help shape the long-term strategy for facilities and asset management across the organisation.
Key facts
What you'll do
a) Support the UK Facilities Manager in directing all facilities operations across company sites in the United Kingdom.
b) Oversee routine maintenance schedules and coordinate with contractors to ensure timely completion of work orders.
c) Monitor energy usage, utility costs, and environmental compliance at each managed facility.
d) Conduct regular site inspections to identify maintenance needs, safety hazards, and areas for improvement.
e) Manage relationships with external vendors, including cleaning services, security providers, and HVAC specialists.
f) Assist in budgeting and forecasting for facilities-related expenditures, including repairs and capital projects.
g) Ensure all buildings comply with current fire safety regulations, building codes, and health and safety legislation.
h) Coordinate office moves, renovations, and space planning projects in collaboration with internal teams.
i) Maintain accurate records of facility conditions, lease agreements, and service contracts.
j) Lead the response to emergency situations affecting buildings or grounds, such as flooding or power outages.
k) Develop and update standard operating procedures for facilities staff and on-site personnel.
l) Report regularly to senior leadership on facility performance, costs, and upcoming projects.
m) Liaise with the finance department to track facilities costs and ensure accurate allocation of operational budgets.
n) Oversee the procurement of maintenance supplies and equipment, ensuring value for money and timely delivery.
o) Support the onboarding of new sites, including commissioning checks and handover procedures with relevant contractors.
Requirements
a) Proven experience in facilities management, building services, or a related operational role within the UK.
b) Strong understanding of health and safety regulations, including the Regulatory Reform (Fire Safety) Order and COSHH guidelines.
c) Demonstrated ability to manage contractors, service level agreements, and vendor relationships effectively.
d) Solid knowledge of building systems, including HVAC, electrical, plumbing, and fire protection.
e) Experience with budget management, cost control, and financial reporting for facilities operations.
f) Excellent organisational skills with the ability to prioritise multiple tasks across different sites simultaneously.
g) Strong communication abilities, both written and verbal, with confidence in presenting to senior stakeholders.
h) A proactive approach to problem-solving and a commitment to maintaining high standards of workplace quality.
i) A degree or equivalent qualification in facilities management, building services engineering, or a related subject is desirable.
Nice to have
a) A qualification in facilities management, building surveying, or a related discipline such as BIFM or RICS certification.
b) Previous experience managing a small team of facilities staff or coordinating a wider support function.
c) Familiarity with computerised maintenance management systems (CMMS) or similar asset tracking software.
d) Experience working with leasehold properties and understanding of commercial lease obligations.
Skills & tools
a) Proficiency in Microsoft Office Suite, particularly Excel for reporting and data tracking.
b) Familiarity with facilities management software platforms for work order and asset management.
c) Knowledge of Building Information Modelling (BIM) or similar digital tools for space planning.
d) Understanding of energy management systems and sustainability reporting frameworks.
e) Competence with contract management and procurement processes.
f) Ability to use diagnostic tools and basic building management system (BMS) interfaces.
Practical notes
a) This role is based in Liverpool, Merseyside, and requires regular on-site presence at Bamboohr facilities across the UK.
b) The working week is standard full-time hours, with occasional evening or weekend availability for urgent maintenance issues or planned shutdowns.
c) The successful candidate will undergo a background check and may need access to secure site locations as part of their duties.
d) Travel between UK sites is expected as part of the role, so a full UK driving licence is beneficial.
