About the role
We are looking for a dedicated Project Manager to lead marketing operations and compliance for two unique brands: an SEC-regulated real estate investment fund and a coaching and publishing brand focused on family legacy. This position is vital for ensuring that all marketing initiatives are executed on time, accurately, and in accordance with regulatory requirements. You will be responsible for managing project lifecycles and ensuring that a remote team meets their commitments effectively.

What you'll do
- Oversee the project status system and manage the flow of marketing tasks, ensuring visibility and progress for all projects.
- Facilitate the routing of briefs, assets, and approvals among stakeholders and vendors, while ensuring deadlines are met.
- Conduct comprehensive quality assurance checks on all outgoing marketing materials, including emails, SMS messages, links, and forms.
- Confirm the accuracy of UTM parameters against the established taxonomy prior to launching campaigns.
- Manage the regulatory approval process for communications related to the fund, ensuring all materials undergo legal review and receive necessary sign-offs.
- Maintain a version-controlled, canonical source of truth for all published marketing assets.
- Publish approved materials using the designated publishing stack while enforcing strict version control protocols.
- Ensure that the distributed marketing team adheres to their designated hours and output, managing timesheets and accountability effectively.
- Document quality assurance and compliance standards to uphold quality and consistency across all marketing efforts.
- Oversee the creation, tracking, and auditing of UTM parameters across all paid marketing channels to ensure accuracy and compliance.
Requirements
- A minimum of 6 years of experience in marketing traffic management, project coordination, or QA/compliance operations, ideally within an agency environment.
- Proven track record of delivering error-free work within specified deadlines.
- Strong understanding of compliance requirements in regulated sectors, such as SEC, financial services, or healthcare.
- Exceptional proofreading and testing capabilities, with a keen eye for detail.
- Excellent command of English grammar and written communication skills.
- A proactive mindset with a focus on driving results while maintaining a low-ego approach.
- Experience in developing workflows for QA, compliance, and version control, including the use of AI-assisted solutions.
- Ability to operate independently while demonstrating leadership and accountability.
- Strong communication skills, with the ability to effectively manage a distributed team.
- Familiarity with publishing, approval, and traffic management tools (e.g., Notable, Planable, HubSpot, Asana) and strict adherence to UTM taxonomy.
- Near-native proficiency in written English.
- Must possess a valid passport and be willing to travel to the US up to four times a year for approximately one week (first trip scheduled for August 17-21).
- A reliable remote work setup is essential.
Nice to have
- Direct experience in SEC, Reg D, securities, or financial services compliance marketing, including management of disclosures and legal sign-off processes.
- Previous experience in running an agency or leading traffic/project management in a fast-paced creative environment.
- Experience in holding distributed or offshore teams accountable on a daily basis.
- Hands-on familiarity with HubSpot, Planable, or Notable, and comfort in building AI-assisted quality assurance processes.
- Prior experience in establishing a "single source of truth" or governance system for brand assets.
- Ability to maintain composure and effectiveness under pressure and tight deadlines.

Practical notes
- This position is fully remote and full-time, with working hours from Monday to Friday, 9:00 AM to 5:00 PM CST.
- Travel to the United States is required up to four times annually for approximately one week each trip.
- The first travel requirement is scheduled for August 17-21.
