About the role
You are responsible for owning the complete lifecycle of every webAI event, from the initial calendar placement to the final post-event report. You will design and implement systems that ensure no sponsor deliverable is missed and no booth conversation goes unrecorded. This role demands that you manage the full spectrum of event logistics, including venue booking, vendor management, and contract routing. You will prepare executives and speakers, handling all AV requirements and on-site readiness. A core part of your success will be building the lead capture infrastructure that turns conversations into actionable pipeline. You will work hand-in-hand with the Head of Growth to ensure every event aligns with broader marketing objectives. As a startup generalist, you will jump across tasks to support the marketing team wherever the need arises. This position requires domestic and international travel to support our global footprint.

What you'll do
Own end-to-end execution for every event on the global calendar, ensuring seamless delivery from kickoff to wrap-up.
Manage all communication with event organizers, sponsors, and venues to confirm deliverables, deadlines, and booth placement.
Book and coordinate venues for hosted events such as happy hours, dinners, and executive briefings.
Route contracts through legal channels and manage vendors, payments, and insurance requirements.
Oversee booth logistics including furniture, signage, shipping, setup, and teardown operations.
Prepare speakers and executives by managing slides, headshots, bios, and AV requirements on strict timelines.
Manage registrations, ticketing, and team travel arrangements for event staff.
Attend events on-site to run point and ensure real-time execution and problem resolution.
Implement and maintain lead capture systems to gather attendee data and conversation notes.
Hand off clean, qualified lead lists to the Salesforce and funnel teams for rapid follow-up.
Manage swag, collateral, and demo hardware inventory from procurement to on-site distribution.
Track event budgets meticulously and produce post-event recaps with results, spend analysis, and improvement plans.
Coordinate shipping arrangements for physical assets to ensure timely arrival and secure storage.
Maintain detailed documentation of every event to create a repeatable playbook for future activations.
Requirements
Possess 3 to 4 years of professional experience in events or event marketing, with a focus on trade shows and executive events.
Demonstrate extreme organization by tracking multiple moving parts and following up before requests are made.
Showcase a clear, fast communication style capable of running numerous email threads without losing context.
Have direct experience building lead capture systems at events, including badge scanning and clean data transfer to Salesforce.
Bring B2B tech or startup event experience, viewing events as a growth channel rather than only a production activity.
Thrive in a startup environment by wearing multiple hats and context switching with ease and enthusiasm.
Be willing to travel domestically and internationally to support events and team presence.
Show hunger for rapid growth by taking on expanded responsibilities and creating impact quickly.

Practical notes
This is a hybrid position based in Austin, TX, with domestic and international travel.
