What you'll do
- Manage the end-to-end onboarding process for new clients, ensuring all documentation and compliance requirements are met.
- Collaborate with internal stakeholders, including compliance, legal, and operations teams, to gather necessary information and facilitate a onboarding experience.
- Conduct thorough reviews of client documentation to verify accuracy and completeness, addressing any discrepancies as needed.
- Maintain detailed records of onboarding activities and client interactions in our internal systems to ensure transparency and accountability.
- Provide exceptional customer service to clients during the onboarding phase, addressing inquiries and concerns promptly and professionally.
- Assist in the development and implementation of onboarding procedures and best practices to enhance efficiency and client satisfaction.
- Monitor and track the progress of onboarding tasks, ensuring timely completion and reporting any potential delays to management.
- Participate in training sessions and workshops to stay updated on industry trends and regulatory changes that may impact the onboarding process.
- Support the onboarding team in preparing reports and presentations for internal and external stakeholders, highlighting key metrics and performance indicators.
- Foster strong relationships with clients to understand their needs and expectations, ensuring a positive onboarding experience that sets the foundation for long-term partnerships.
- Contribute to continuous improvement initiatives by providing feedback on the onboarding process and suggesting enhancements based on client experiences.
- Collaborate with the marketing team to create onboarding materials that effectively communicate our services and value proposition to new clients.
Requirements
- A bachelor's degree in finance, business administration, or a related field.
- At least 2 years of experience in client onboarding, customer service, or a similar role within the financial services industry.
- Strong understanding of regulatory requirements and compliance standards relevant to client onboarding.
- Excellent organizational skills with the ability to manage multiple projects and deadlines simultaneously.
- Exceptional communication skills, both written and verbal, with a strong focus on client interaction.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and experience with CRM systems.
- Ability to work collaboratively in a team-oriented environment while also being self-motivated and proactive.
- Detail-oriented mindset with a commitment to accuracy and quality in all tasks.
- Strong problem-solving skills and the ability to think critically under pressure.

- Experience with onboarding software or tools that streamline the onboarding process.
- Familiarity with financial products and services offered by Waystone or similar firms.
- Previous experience in a client-facing role within a multinational organization.
- Knowledge of additional languages is a plus, particularly Mandarin or Cantonese.
- Certification in compliance or project management would be advantageous.
