About the role
The hired Risk Coordinator will own the end to end administration of the company fleet and associated risk management functions. They will own the Fuel Card program from ordering and replacing cards to troubleshooting inoperable cards and creating fuel pins. This role will own the full lifecycle of toll transponder management including ordering units, managing usage, and processing violations. They will own the completion of initial title and registrations for every vehicle in the fleet and manage the ongoing registration renewal program. The Risk Coordinator will own the ordering of auxiliary equipment such as first aid kits, roadside kits, and cell phone mounts for vehicles. They will own the handling of all state transfers and ensure vehicles are addressed correctly for property tax purposes. This position will own the validation of driver enrollment in the motor vehicle record monitoring and driver training program. They will own the preparation of comprehensive reports for First Report of Injury submissions to insurance carriers, Safety, and Human Resources. The role will own the maintenance of Risk Department recordkeeping for claims, accidents, incidents, and trend tracking.

What you'll do
Handle all aspects of the Fuel Card program including ordering, replacing, terminating, and troubleshooting inoperable cards. This also includes creating, issuing and cancelling fuel pins.
Report fuel card transactions to the Divisions on a regular basis.
Train drivers on the fuel program and ensure they understand the procedures.
Take responsibility for all aspects of the toll transponders including ordering, managing, reviewing usage and processing violations.
Report all fleet vehicle & driver violations to Human Resources and the appropriate Division promptly.
Ensure initial title and registrations are completed for all vehicles within the fleet accurately and on time.
Manage the registration renewal program for all vehicles across the organization.
Order auxiliary equipment for vehicles including first aid kits, roadside kits and cell phone mounts as needed.
Handle all state transfers and ensure vehicles are addressed properly for property tax purposes without delay.
Ensure vehicle insurance compliance is maintained for the entire fleet.
Perform inventory and driver assignment adjustments in various fleet database systems as required.
Validate and ensure all drivers are enrolled in the motor vehicle record (MVR) monitoring and driver training program including reporting and notifying of issues.
Process any state specific MVR forms in accordance with company procedures.
Assign quarterly and event-based training for drivers to maintain required certifications.
Review expired, cancelled, or suspended licenses and escalate issues as appropriate.
Consult with HR on new hire eligibility and pre-hire MVR checks to ensure compliance.
Oversee inventory of fleet vehicle dashcams including ordering hardware, scheduling installation, troubleshooting, and deactivation of devices.
Troubleshoot non-responsive GPS and telematic units, including resolution through Vendor support channels.
Review fleet vehicle dashcam video and report safety-related issues to management as necessary.
Take charge of acquiring immediate information for all work-related incidents and expertly prepare comprehensive reports for First Report of Injury submissions to insurance carriers, Safety Director, and Human Resources.
Work with Marketing on creating and issuing monthly driver newsletters to keep drivers informed.
Use AI tools to review commercial insurance documents against VSC requirements for accuracy and compliance.
Maintain Risk Department recordkeeping for claims, accidents, incidents, and trend tracking to support analysis and decision making.
Requirements

You must show demonstrated attention to detail for recordkeeping and compliance to ensure accuracy in all processes.
You are required to have knowledge of auto, workers' compensation, and other commercial business insurance policies.
You must be people-oriented with the ability to work cross functionally with field employees at all levels.
You must be able to work efficiently in MS Office Suite, specifically Excel, including advanced functions and data management.
You must possess the ability to communicate well via phone, email and video conferencing with internal and external stakeholders.
You must be able to work independently as well as collaborate effectively within a team setting.
Exceptional customer service and organizational skills are required for this role due to the scope and impact of the responsibilities.
Nice to have
Preferred knowledge of fleet and or transportation-related principles is a strong advantage for this position.
Practical notes
This position is an in office position with the potential to work 1 day a week remote.
