This position drives daily HR operations and owns the full employee journey from first inquiry to final exit. The incumbent delivers calm, organized support across every interaction while serving as the initial contact for employee inquiries. The role coordinates key processes spanning onboarding, offboarding, HR systems, compliance, and employee documentation. Success requires a high level of organization, meticulous attention to detail, and a dedication to outstanding internal customer service.
Location and engagement
The role is based in Irvine, California, United States. It is an office-based position.
Compensation
The base compensation range is $28 per hour to $36 per hour. This range represents Viant's reasonable estimate of the compensation for this role in compliance with California law.
What you'll do
Employees will serve as the first point of contact for general human resources questions. They will provide timely, professional, and confidential support through various communication channels. The incumbent will monitor and manage the HR inbox and HR tickets in Jira. They will assign, route, and track these tickets to completion within a five-business-day resolution target. They will connect employees with appropriate HR team members when specialized assistance is required.
Coordination of the end-to-end onboarding process is a core responsibility. This includes managing background checks, ensuring I-9 and E-Verify compliance, scheduling orientation, and handling new hire documentation. The incumbent will ensure that required documents are completed within three days of the start date. They will also ensure that required compliance training is completed within fourteen days of the start date.
The role facilitates employee offboarding by coordinating exit interviews. The incumbent will manage separation documentation, finalize pay logistics, process equipment returns, and revoke system access. They will partner with the Benefits team on COBRA administration and benefit terminations.
Maintaining accurate employee records across multiple platforms is essential. The incumbent will manage data in ADP, ChartHop, Greenhouse, and other HR platforms. They will ensure timely updates for new hires, transfers, promotions, compensation changes, and separations.
Maintaining audit-ready personnel files is a critical duty. The incumbent will ensure compliance with federal, state, and company record retention requirements. This includes managing I-9 forms and other confidential employee documentation.
Partnership with Payroll and other cross-functional teams is required to resolve employee data discrepancies. The incumbent will support reporting requests and assist with compliance audits, including SOX, EEO-1, and workers' compensation reporting.
The role involves maintaining HR process documentation, job aids, employee communications, and internal knowledge resources. The incumbent will use approved content and templates. They will also support future HR intranet development and content management initiatives.
Processing employment verifications and reference requests is a standard duty. The incumbent will manage unemployment claims, employee correspondence, and departmental calendars. They will provide administrative support for broader HR operations.
Supporting HR initiatives and special projects is expected. This includes work on HRIS or ATS implementations, acquisition integrations, process improvements, employee programs, and other operational initiatives.
Requirements
A high school diploma is required. An Associate's or Bachelor's degree in Human Resources, Business Administration, or a related field is preferred.
The ideal candidate will bring one to three years of experience in an HR Coordinator, HR Assistant, or administrative support role. Experience working with HRIS and applicant tracking systems is required. ADP experience is preferred, with the ability to quickly learn new platforms.
The position requires extreme attention to detail, strong organizational skills, and discretion when handling confidential employee information. Strong written and verbal communication skills are necessary to manage multiple priorities in a fast-paced environment.
Experience with Jira or similar ticketing platforms, project coordination, enterprise system implementations, or maintaining internal documentation and knowledge bases is a bonus.
