About the role
The CRM Administrator is responsible for the end-to-end panelist journey within our CRM ecosystem. This role transforms complex data into structured, calm workflows. The position demands comfort with technical systems, strong discipline, and a preference for documented solutions. You will serve as the primary connection between operations, product, engineering, and support teams through the CRM. In this capacity, you will own the configuration, maintenance, and evolution of the core systems that define the panelist experience. Success in this position depends on the ability to translate ambiguous business needs into reliable, scalable system solutions that can withstand future growth. You will act as a technical product owner for the lifecycle automations that drive recruitment, engagement, and retention. The role requires a proactive mindset focused on preventing issues before they impact the broader panel community.
Location and engagement
The role is based in Boston, Massachusetts, United States. It is a full-time position.
Compensation
The base compensation range for this role is $100,000 - $130,000. This range is an estimate provided by Viant Technology and is subject to adjustment based on work experience and education. Final title and compensation will be determined following a comprehensive review.
What you'll do
This role involves designing and managing the systems that manage our panelists. You will build and maintain the processes that handle every stage of the panelist experience. The work requires a balance of technical skill and operational thinking. You will be the steward of data integrity and the automation backbone that supports our engagement strategies. The position requires a high degree of ownership and the ability to manage complex systems with minimal direct oversight.
- Design intake processes that accurately capture panelist details and enable smooth onboarding journeys.
- Build and maintain scalable automations covering recruitment, retention, support, and offboarding while strictly guarding data quality.
- Create AI-powered workflows intended to speed responses, reduce manual busywork, and strengthen partner support operations.
- Partner with cross-functional teams to convert vague requirements into concrete, scalable system changes.
- Monitor workflow performance and data quality to identify drift and discover hidden improvement opportunities.
- Produce clear dashboards, process maps, and documentation so non-technical teams can understand system health.
- Manage integrations between the CRM, internal databases, and external tools using APIs and automation patterns.
- Troubleshoot system errors and diagnose broken workflows to provide fast, practical support to operations teams.
- Recommend and implement continuous process tweaks to improve workflow maintainability, transparency, and safety.
- Ensure all configurations, rules, and data handling practices align with security standards and company policy.
- Serve as the subject matter expert for the CRM platform, providing guidance and training to internal stakeholders.
- Conduct regular system audits to verify that automations are executing correctly and data is consistent.
- Collaborate with data teams to optimize reporting accuracy and ensure metrics align with business objectives.
- Implement error handling and alerting mechanisms to ensure issues are surfaced and addressed promptly.
- Maintain a living repository of configurations and business rules to support continuity and knowledge sharing.
Requirements
The ideal candidate will have proven experience in similar technical operations roles. You must have a history of successfully managing complex systems and building processes from the ground up. The role requires a disciplined approach to system management and a commitment to maintaining clear documentation.
- Must have 3-7 years of experience in CRM administration, systems operations, or a related technical role.
- Must have hands-on experience configuring CRM platforms and building workflow automations from scratch.
- Must understand how to design lifecycle automations that remain reliable as volume and complexity increase.
- Must be fluent with AI tools, automation platforms, and identifying opportunities to raise efficiency.
- Must have direct experience with APIs, integrations, or low-code tools used to connect systems.
- Must be able to analyze problems, troubleshoot workflows, and solve complex issues under pressure.
- Must be able to manage shifting priorities and multiple projects without constant supervision.
- Must communicate clearly and work effectively with cross-functional teams across different functions.
- Must be comfortable working in a fast-paced environment where requirements can evolve rapidly.
- Must demonstrate a strong attention to detail and a commitment to following established processes.
- Must have the legal right to work in the United States without sponsorship.
- Must be located in the Boston, Massachusetts area or be willing to relocate to the region.
