As a Strategy Associate specializing in Tenders and Proposals, you will play a crucial role in extending Via's reach within the DACH region. Your focus will be on managing the proposal and tender processes that establish new collaborations with public transit agencies. Within our Strategy Team, you will ensure that all documentation, tender pipelines, and submission workflows are organized and efficient, enabling us to seize opportunities that positively impact the communities we serve.

Key facts

What you'll do

• Identify and evaluate tender opportunities across Europe, interpreting relevant documents to determine which tenders Via should actively pursue.
• Facilitate the internal review process for new tenders, working closely with cross-functional teams to make informed decisions regarding potential pursuits.
• Organize kickoff meetings for proposals, ensuring alignment among stakeholders and maintaining schedules for all workstreams leading up to submission.
• Oversee the entire proposal submission process, coordinating with Solutions Engineering, Legal, and Finance teams to gather necessary documentation, translations, approvals, and signatures while adhering to tight deadlines.
• Manage and update Via's administrative document library, ensuring that all essential documents are current and easily accessible for team members.
• Handle communications through tender portals during the bidding phase, crafting and distributing responses to inquiries from bidders that enhance Via's competitive edge.
• Maintain a detailed overview of Via's partnerships and project history, providing teams with an accurate and up-to-date understanding of all relationships and engagements.
• Collaborate with the Strategy Team to develop strategies for improving proposal quality and increasing win rates for tenders.

Requirements

• A minimum of 2 years of relevant experience, ideally in a fast-paced work environment.
• Demonstrated ability to manage multiple tasks and deadlines efficiently; you should be organized and detail-oriented, capable of identifying potential issues before they arise.
• Excellent communication skills, with the ability to seek input and coordinate across various teams, even when it necessitates multiple follow-ups.
• Capacity to thrive in a dynamic setting and bring structure to complex situations.
• Fluency in both German and English is required; near-native proficiency in German is essential for this role.

Nice to have

• Experience in the public transportation sector or related fields would be advantageous.
• Familiarity with proposal management software can be beneficial.
• Previous experience working with cross-functional teams in a collaborative environment.
