Vamonosit is seeking a Microsoft 365 Technical Writer and Communications Specialist to join their growing team in Ashburn, Virginia. This full-time role centers on producing high-quality documentation and communication content that supports the Microsoft 365 ecosystem used throughout the organization. Key facts
What you'll do
Write and maintain technical documentation covering Microsoft 365 products and services used across the organization on a daily basis
Create user guides, knowledge base articles, step-by-step instructions, and troubleshooting documents for internal teams and external end users
Partner with product managers and software engineers to collect technical specifications and clarify how Microsoft 365 features actually work in practice
Develop communication materials including release notes, product announcements, and training guides that accompany Microsoft 365 updates and new features
Conduct thorough reviews of existing documentation to verify accuracy, remove outdated information, and improve clarity for the target audience
Structure and organize content in a logical, intuitive format that allows readers to find the information they need quickly and easily
Attend content planning and prioritization meetings to align documentation efforts with product release schedules and team objectives
Enforce established style guides, terminology standards, and brand voice guidelines across all Microsoft 365 written materials and communications
Work with the broader communications team to determine the best channels and formats for distributing technical content to the right audiences
Monitor reader feedback, usage analytics, and support ticket trends to identify documentation gaps and prioritize improvements to Microsoft 365 materials
Requirements
Proven track record of writing technical documentation, with a strong preference for candidates who have worked with productivity software or cloud-based platforms
Solid working knowledge of Microsoft 365 applications including Outlook, Teams, SharePoint, OneDrive, and related services and features
Ability to break down complex technical subjects into straightforward, well-organized language that serves readers at different skill levels
Comfortable using documentation authoring tools, content management systems, and version control workflows common in technical writing roles
Outstanding written and verbal communication abilities, with a meticulous approach to grammar, spelling, and factual accuracy
Experience working alongside cross-functional groups such as engineering teams, product managers, designers, and marketing professionals in a fast-paced setting
Nice to have
Exposure to single-source publishing methods and structured authoring standards such as DITA or similar content modeling approaches
Experience producing video walkthroughs, screen recordings, or other multimedia assets that complement written Microsoft 365 documentation
Understanding of information architecture and content strategy as applied to enterprise software products and internal knowledge bases
Prior employment at a technology company or IT department where Microsoft 365 was deployed and supported for a large user base
Skills & tools
Microsoft Word and Microsoft PowerPoint for creating polished documents, templates, and presentation materials for technical audiences
SharePoint and Microsoft Teams for content collaboration, document sharing, and managing internal communication workflows across departments
Content management systems and wiki platforms used to organize, publish, and maintain technical documentation in a structured way
Markdown, structured authoring formats, or similar markup languages for preparing content for digital delivery and online publishing
Style guide enforcement and terminology management tools that help maintain consistency and accuracy across all Microsoft 365 documentation
Basic familiarity with HTML, CSS, or web publishing formats used for online help systems and searchable knowledge base articles

This position is based in Ashburn, Virginia and requires regular on-site attendance at the Vamonosit office during standard business hours
The role is full-time with a fixed schedule, though some flexibility in daily hours may be arranged with the direct manager
The specialist will typically handle several documentation projects at once, so the ability to prioritize tasks and meet firm deadlines is essential
