About the role
You serve as the primary onsite presence for ALSO at our Seattle, WA office, acting as the central hub for all visitor and vendor interactions. This role owns the daily execution of safety protocols and access management to ensure a secure and efficient workplace environment. You will manage the complete lifecycle of shipping, receiving, and package routing to maintain smooth operational flow. Success in this position means you proactively order and restock consumables like coffee, snacks, and office essentials to prevent any disruption. You conduct systematic facility inspections and translate maintenance findings into actionable tasks for the Property Manager or Facilities team. The position requires you to provide basic setup and troubleshooting for IT equipment while knowing when to escalate to specialized support. What you'll do
- Act as the primary onsite point of contact for vendors, third parties, and visitors, directing access and verifying safety compliance at all times.
- Oversee the management of shipping, receiving, and delivery of packages, mail, and office orders to maintain an organized flow of goods.
- Source and order kitchen and office supplies including coffee, snacks, paper goods, cleaning products, and general office materials to sustain operations.
- Perform routine facility inspections and promptly report maintenance issues to the Property Manager or Facilities team for resolution.
- Provide basic setup and troubleshooting support for IT equipment such as monitors, printers, AV systems, and conference room tools, escalating to IT when necessary.
- Assist with meeting room setup, catering coordination, and end-to-end event logistics from initial planning through final execution.
- Execute light cleaning and tidying of common areas and coordinate with janitorial, culinary, and facilities vendors to uphold building performance standards.
- Support the onboarding process by coordinating office access, conducting facility orientations, and ensuring new hire workspaces are ready on day one.
- Track and document workplace procedures, building information, and ticket statuses from initiation through completion for accurate records.
- Serve as the emergency point of contact for the office and ensure issues are escalated to the appropriate parties without delay.
- Work cross-functionally with People, Workplace, Commercial, and other teams to support workplace requests, purchase orders, and company events.
- Occasionally work evenings or weekends to accommodate off-hours activities such as janitorial access, construction, or special events as required.
Requirements
- Hold a High School Diploma or GED as the minimum educational credential for this position.
- Bring a minimum of 2+ years of experience managing an office environment, preferably within a corporate setting.
- Demonstrate strong customer service and communication skills in all interactions with internal and external stakeholders.
- Show proficiency in using a variety of computer software systems and work order platforms to track and document tasks.
- Possess the ability to lift up to 30 lbs as needed to perform essential job functions safely.
- Maintain a hands-on, self-starter mentality with the capacity to operate independently and identify opportunities for improvement.
- Drive initiatives forward with minimal direction while remaining accountable for tasks from start to finish.
