About the role
You will ensure the office consistently runs smoothly by tracking inventory, meticulously maintaining the facilities budget and expense reports, and managing all vendor relationships across breakroom, events, and office supply needs. You will act as the primary point of contact and coordinator for all office services including coffee, cleaning services, and plant maintenance. You will dynamically optimize the physical space according to team needs, challenges, and changes while proactively identifying areas for improvement. You will partner with HR to guarantee that all new hires are set up for success in their physical workspace. You will lead the planning and execution of recurring and one-off events such as monthly culture club activities, seasonal celebrations, and the annual summer and holiday parties. You will own the Employee of the Month program, including coordinating nominations, notifying associates, and managing recognition execution.

What you'll do
Coordinate and manage all office services including coffee provisioning, cleaning schedules, plant maintenance, and facilities requests.
Ensure the office consistently runs smoothly by tracking inventory levels, maintaining the facilities budget, and processing expense reports for office supplies and events.
Act as the central problem solver within the physical space by facilitating repairs, managing cleaning services, and filing necessary tickets.
Dynamically optimize the office layout and resources to align with team needs, challenges, and changes in project scope.
Proactively manage requests and suggestions for office improvements by logging issues promptly and ensuring timely follow-through.
Partner with HR to set up new hires for success, ensuring they have the necessary equipment and workspace readiness.
Assist the building General Manager with calendar management and various administrative tasks as needed to support office operations.
Lead the planning and execution of recurring events like monthly culture club meetings and one-off events such as seasonal celebrations.
Own the monthly Culture Club meetings and manage the associate events calendar in partnership with HR on logistics and ordering.
Manage recurring food and breakroom ordering across both the manager and associate areas, including weekly team breakfasts and monthly manager meeting lunches.
Maintain Canteen coffee service and execute Staples and Amazon restocking on a monthly cadence to ensure supply continuity.
Support ongoing operational communications such as bi-weekly GEMBA walk reminders and other standing team cadences to ensure alignment.
Own the design, content, and distribution of the monthly office newsletter to keep associates informed and engaged.
Own messaging related to building procedures, changes, or alerts to ensure clear and timely communication across all teams.
Maintain, identify, and communicate office policies and procedures, ensuring they are implemented appropriately and followed by all.
Keep up to date with office safety regulations and compliance standards to maintain a secure and healthy work environment.

Nice to have
