As part of this mission, the company is seeking a Senior Paralegal specializing in immigration to support its employment-based immigration initiatives. In this role, you will be responsible for managing the day-to-day operations of the company's immigration program, ensuring compliance with applicable laws and regulations, and providing guidance to employees and management throughout the immigration process. You will collaborate closely with external legal counsel, internal HR teams, and company leadership to facilitate efficient visa processing, maintain accurate records, and develop best practices for immigration procedures. Key facts
What you'll do
- Oversee and manage the administration of Redwood Materials' immigration program, including handling nonimmigrant visas such as H-1B, L-1, O-1, and others, as well as employment-based green card processes.
- Serve as the primary liaison between external immigration attorneys and internal stakeholders, including employees, managers, and HR personnel, to ensure smooth communication and case management.
- Respond to routine immigration questions from employees and managers, providing guidance on visa options, documentation requirements, and timelines, while escalating complex issues to the legal team as needed.
- Coordinate the initiation of immigration cases by collecting necessary documentation from employees, verifying eligibility, and ensuring all required information is accurate and complete before filings are submitted.
- Assist with pre-hire immigration assessments, including evaluating candidate eligibility for sponsorship and advising hiring managers on immigration options and timelines.
- Support internal processes for visa extensions, status changes, and renewals, ensuring all filings are submitted timely and in compliance with legal requirements.
- Develop, maintain, and update immigration-related documentation, including procedures, templates, checklists, and communication resources for employees and managers to facilitate understanding of the process.
- Track key deadlines for visa expirations, extensions, and compliance filings, and proactively manage reminders to ensure timely submissions.
- Monitor expenditures related to outside legal counsel and immigration services, ensuring adherence to budget and company policies.
- Stay informed about changes in immigration laws, policies, and procedures that could impact current and future employees, and communicate relevant updates to internal teams.
- Maintain accurate and organized records of all immigration cases, correspondence, and documentation in accordance with company policies and legal standards.
- Assist with compliance audits and prepare reports related to immigration activities as required.
- Contribute to the development of best practices and process improvements to enhance the efficiency and effectiveness of the immigration program.
- Support other legal team projects and initiatives related to employment law and compliance as needed.
Requirements
- Minimum of 5 years of experience working in business immigration, with a strong understanding of U.S. employment-based immigration processes.
- Proven experience managing nonimmigrant and immigrant visa cases, including H-1B, L-1, O-1, PERM, and green card processes.
- Familiarity with working with external immigration counsel, coordinating case filings, and managing multiple stakeholders across different departments.
- Strong organizational skills with the ability to handle multiple cases and priorities simultaneously in a fast-paced environment.
- Excellent written and verbal communication skills, capable of explaining complex immigration concepts clearly and empathetically to employees and management.
- High attention to detail and accuracy, with the ability to manage confidential information responsibly.
- Sound judgment and problem-solving skills, especially when navigating complex or sensitive immigration issues.
- Ability to adapt to changing immigration laws and company needs, maintaining flexibility and proactive communication.
- Experience developing or improving immigration processes, documentation, and employee resources to streamline workflows.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams, SharePoint), HRIS systems, and immigration case management tools.
- A paralegal certificate, bachelor's degree, or a relevant combination of education and experience is preferred.
- Knowledge of ITAR regulations related to immigration is a plus.
