About the role
This role is centered on managing vehicle transportation for customers to ensure smooth collections and deliveries across the network. You will act as the initial contact for any collection or delivery problems, finding quick solutions to keep transport services running smoothly and maintaining high service standards. As a key player in resolving issues, you will work closely with various internal and external groups to align on priorities and remove roadblocks. The position requires a proactive mindset where you forward recurring issues to your manager and the broader Transport Operations team, tracking progress to identify trends and improve service levels over time. You will participate in specific project work, contributing directly to team objectives and process enhancements that support the wider business strategy. A core part of this role involves processing new transport requests, making sure all collections and deliveries are scheduled promptly and resources are used efficiently. You will communicate with transport partners to ensure efficient information exchange, building relationships that support reliable operations. Additionally, you will manage the entire Motorway-owned transport claims process, applying an objective and analytical approach to protect company interests and uphold policy compliance.

- Review and approve invoices, identifying and questioning any discrepancies with transport providers.
- Address customer complaints effectively, using strong attention to detail and an analytical mindset.
- Coordinate scheduling across multiple transport jobs to optimize routes and minimize downtime for vehicles.
- Maintain accurate records of each transport activity within Google Sheets to support audits and reporting.
- Escalate complex issues to senior team members when necessary, ensuring that critical problems are handled promptly.
- Support the continuous improvement of transport procedures by suggesting practical adjustments based on daily observations.
- Verify that all documentation related to collections and deliveries is complete and accurate before final submission.
- Assist with ad hoc requests from the Dealer Services team to support broader operational needs during peak periods.
Requirements
- Excellent communication skills, both written and verbal, with a professional phone manner that reassures customers and partners.
- Strong attention to detail and highly organized, with a history of effective task prioritization in a fast-paced environment.
- A proactive problem-solver who can think creatively to improve processes and adapt to changing business requirements.
- Capable of independently handling escalated issues and implementing preventative measures to avoid future disruptions.
- Strong administrative abilities, including demonstrated experience with Google Sheets for data entry, tracking, and reporting.
- Availability to work Monday to Friday from 9am to 5:30pm, with flexibility for 8am to 4:30pm shifts when operational demands require it.
- A reliable mode of transportation to commute to the Brighton office consistently and punctually each working day.
- Eligibility to work in the United Kingdom without restrictions, ensuring compliance with employment legislation and internal policies.
- A clean background check confirming no conflicts or issues that would prevent you from handling sensitive transport and claims information.
- Commitment to following Motorway's policies and procedures, including data protection, health and safety, and customer service standards.
- Willingness to undergo any required onboarding and training modules before being assigned independent responsibilities.
- An understanding of basic logistics concepts, including scheduling, routing, and documentation, even if gained in a different industry.
Nice to have
- Experience using Zendesk to manage customer interactions and support tickets in a structured way.
- Background in logistics, customer service, or an administrative role where you handled inquiries or coordination tasks.
- Prior experience in claims or planning and logistics, giving you familiarity with how transport operations are monitored and controlled.
