About the role
This position provides essential administrative and operational support to the clinical department to ensure the effective delivery of mental health services. You will manage daily center operations, coordinate client documentation, and facilitate communication between clinicians and community service participants. The role requires ownership of the entire client journey from initial inquiry through to service completion and follow-up. You are responsible for maintaining the integrity and efficiency of clinical workflows in a hybrid working environment. Success in this position depends on your ability to act as a reliable liaison and administrative backbone for the department. You will contribute directly to the quality of care by ensuring that logistical elements are handled professionally and accurately. This position plays a critical part in supporting the overall mission of making mental health services accessible and well-organized.

What you'll do
- Serve as the primary contact for retail and community client inquiries, managing all initial communications professionally.
- Schedule appointments meticulously and dispatch session alerts to clients and affiliated partners on time.
- Coordinate clinician outreach strategically to streamline timely case placement and resource allocation.
- Oversee payment collection at the point of care and uphold precise financial logs for transparency.
- Perform reception duties diligently and ensure counseling rooms and waiting areas are maintained to high standards.
- Monitor inventory levels rigorously and document facility maintenance needs for prompt resolution.
- Update and maintain case records in the database while ensuring strict adherence to confidentiality policies.
- Lead the logistics, marketing, and registration processes for community workshops and events from conception to execution.
- Track event budgets assiduously and analyze stakeholder feedback to inform future improvements.
- Support ad-hoc projects and general departmental priorities as they emerge, demonstrating flexibility and initiative.
- Facilitate smooth operational transitions between administrative and clinical teams to prevent service disruption.
- Act as a gatekeeper for the clinical environment, managing flow and accessibility for optimal client experience.
- Liaise with external community partners to align service delivery with broader public health objectives.
- Ensure all administrative tasks are completed with a high degree of accuracy and compliance.
Requirements
- Hold a Bachelor degree, preferably in Psychology or a related field, to provide a foundational understanding of client needs.
- Demonstrate proficiency in English at a native or professional level for clear and effective communication.
- Ability to work a schedule of 11am to 7pm, Monday to Friday, plus one Saturday per month to accommodate client availability.
- Capability to work in a hybrid model with 4 days in the office and 1 day from home to balance focus and collaboration.
- Exhibit strong organizational, time management, and multitasking skills to handle diverse responsibilities efficiently.
- Capacity to handle sensitive information with professional discretion and uphold the highest ethical standards.
- Willingness to adhere strictly to all company policies, procedures, and regulatory compliance requirements.
