This position is responsible for the comprehensive management of livingHR's payroll, HRIS, and HCM systems. It requires a practical, hands-on approach to system administration and payroll processing, emphasizing operational excellence rather than just implementation. You will serve as a key internal expert for our HR technology stack, ensuring that our platforms are correctly configured, connected, compliant with regulations, and optimized for efficiency as the company continues to grow. The role involves working closely with HR leadership and other stakeholders to streamline processes, troubleshoot issues, and implement system enhancements that support the company's HR and payroll functions.

What you'll do
- Manage all aspects of payroll processing, including ensuring accuracy, timeliness, and compliance across multiple states with varying regulations.
- Oversee the payroll schedule, including setting deadlines, processing payroll runs, and ensuring timely tax filings and submissions.
- Handle garnishments, off-cycle payments, and other special payroll transactions, ensuring proper documentation and compliance.
- Act as the primary point of contact for resolving payroll discrepancies, addressing employee inquiries, and supporting internal audits related to payroll.
- Maintain and administer the primary HRIS platform, including managing user access, workflows, data accuracy, and system configurations.
- Support and optimize performance and engagement tools, such as Lattice, for goal setting, performance reviews, feedback, and engagement surveys.
- Coordinate system integrations between HRIS, payroll, benefits, performance management, and other related software to ensure data flow and operational efficiency.
- Lead system updates, including implementing new features, configuring settings, and testing changes to ensure stability and compliance.
- Develop and implement automated workflows and processes to streamline HR administrative tasks, reducing manual effort and minimizing errors.
- Collaborate with HR leadership and other stakeholders to translate operational needs into effective system designs and configurations.
- Ensure the integrity and security of HR data, generate reports, and prepare data for audits or compliance reviews.
- Verify that payroll and HRIS procedures adhere to all relevant federal, state, and local regulations, including wage and hour laws.
- Provide dashboards and reports to support workforce planning, headcount tracking, and performance metrics.
- Stay informed about updates in payroll regulations, HRIS technology, and compliance requirements to proactively adjust systems and processes.
- Support onboarding and offboarding processes by ensuring accurate data entry and system updates.
- Assist in training HR team members and other stakeholders on system features and best practices.
- Participate in system testing and user acceptance testing (UAT) for new features or platform upgrades.
- Document procedures, configurations, and workflows to ensure knowledge sharing and continuity.
- Contribute to continuous improvement initiatives to enhance HR and payroll operations through technology.
Requirements
- Possess at least 5 years of experience managing payroll and HRIS/HCM systems, with a proven track record of operational management.
- Have a background as an HR Generalist or HR Business Partner with broad knowledge of the employee lifecycle, including recruitment, onboarding, performance management, and offboarding.
- Demonstrate experience working directly with clients in consulting, professional services, PEOs, or agency settings, providing tailored HR and payroll solutions.
- Proven hands-on experience administering a core HRIS platform, such as HiBob, with a deep understanding of its features and capabilities.
- Proven experience managing performance and engagement platforms like Lattice, including configuration, reporting, and user support.
- Have a strong understanding of multi-state payroll compliance, tax regulations, wage and hour laws, and related legal requirements.
- Exhibit strong analytical skills for troubleshooting system issues, data discrepancies, and integration problems independently.
- Possess excellent communication skills, with the ability to advise stakeholders and resolve issues effectively.
- Be comfortable working in a lean, rapidly expanding environment that requires high levels of personal accountability and adaptability.
- Demonstrate the ability to handle sensitive data with confidentiality and professionalism.
- Be proactive in identifying opportunities for process improvements and automation within HR and payroll operations.
- Have experience with data security standards and best practices for HR data management.
- Possess strong organizational skills to manage multiple priorities and deadlines efficiently.
- Be familiar with federal, state, and local employment laws affecting payroll and HR data management.
Nice to have
- Holding a certification in HRIS or performance management platforms, such as Lattice or similar tools, is a plus.
- Experience working with international payroll or HR systems is advantageous but not required.
- Knowledge of additional HR technology platforms or integrations can be beneficial for broader system support.
