About the role
You are the central hub ensuring the smooth daily function of Kin's downtown Chicago office while architecting the employee experience programs that bind the Kinfolk community together. This position demands ownership of both the tangible operations and the cultural heartbeat of the workplace, ensuring the office serves as a strategic asset rather than a cost center. You will manage the full lifecycle of onsite events, from initial concept through final execution, guaranteeing seamless logistics and exceptional attendee satisfaction. The role requires proactive anticipation of needs, solving problems before they escalate and maintaining the highest standards for organization and professionalism. You will act as the primary liaison with vendors, landlords, and internal stakeholders to foster strong partnerships and optimize operations. What you'll do
Coordinate all facets of the Chicago office environment, ensuring spaces are functional, welcoming, and aligned with Kin's cultural standards.
Manage the full vendor ecosystem for facilities and events, including negotiations, contracting, and performance oversight through procurement systems.
Oversee the end-to-end employee lifecycle experience, designing and implementing onboarding, recognition, and internal communication initiatives.
Administer the company-wide swag program, managing inventory, vendor relationships, and fulfillment to maintain brand consistency.
Serve as the primary organizer for all company onsites and large-scale events, handling venue selection, contracts, travel logistics, and catering arrangements.
Develop and maintain accurate office expense tracking, identifying opportunities for cost savings and process enhancements.
Act as the key point of contact for building and landlord relations, resolving issues promptly and maintaining a professional atmosphere.
Own the internal wiki and employee documentation, ensuring information is current, accessible, and easy to navigate for all staff.
Support Employee Resource Groups (ERGs) by coordinating logistics, providing resources, and fostering an inclusive community environment.
Proactively identify operational gaps and implement systems that prevent issues before they impact the employee experience.
Manage office supplies and food services, forecasting needs and optimizing orders for efficiency and cost-effectiveness.
Negotiate competitive rates with vendors for events and services, balancing quality, cost, and brand alignment.
Ensure all office operations comply with company policies, legal requirements, and safety standards.
Leverage data and qualitative feedback to iterate on programs, demonstrating the impact of your initiatives on employee engagement.
Build strong cross-functional relationships with teams across the organization to support company-wide initiatives and priorities.
Requirements
Eligible candidates will possess the following qualifications and experience, as outlined below.
Demonstrated experience in office management, administrative operations, or facilities coordination within a professional services environment.
A minimum of three (3) years of progressive experience in event planning, project management, or a related field.
Proven track record of managing complex projects, budgets, and vendor relationships simultaneously with strong organizational skills.
Exceptional attention to detail and the ability to maintain high levels of accuracy in a fast-paced environment.
Strong written and verbal communication skills, with the ability to convey information clearly to diverse audiences.
Proficiency in Microsoft Office Suite, including advanced skills in spreadsheets and presentation software.
Experience with project management tools and collaboration platforms, such as wikis and shared documents.
Ability to work independently with minimal supervision, exercising sound judgment and initiative in decision-making.
Nice to have
Previous experience working within the insurance or financial services industry is preferred.
Familiarity with remote-first company cultures and distributed team dynamics.
Experience supporting Employee Resource Groups (ERGs) and diversity, equity, and inclusion initiatives.
Knowledge of customer relationship management (CRM) systems and data analysis.
Understanding of homeowners insurance products and the challenges facing homeowners in climate-vulnerable regions.
Experience with company swag and corporate gifting programs.
