This role serves as the primary liaison between healthcare providers, state licensing boards, and internal stakeholders to ensure smooth and compliant license processing. You will manage the entire lifecycle of healthcare licensing, from initial application review to final issuance, while maintaining strict adherence to regulatory standards. Your meticulous work will directly enable providers to begin patient care on schedule and without regulatory delay. You will conduct detailed research, interpret complex regulatory requirements, and communicate proactively with multiple parties to resolve potential roadblocks. Success in this position is defined by your accuracy, your ability to meet strict timelines, and your contribution to a seamless provider onboarding experience. This position offers exposure to core healthcare operations, compliance procedures, and professional growth within a high-performing medical support environment. You will play a critical role in supporting the company's mission by facilitating the placement of qualified providers across the nation.

What you'll do
- Serve as the central contact point for providers and state agencies to guide licensing activities from initiation to completion.
- Analyze individual state licensing requirements and translate them into actionable checklists for providers.
- Verify primary source documentation, including credentials, education, and examination results, to ensure data integrity.
- Communicate regularly with providers via phone, email, and written correspondence to clarify information and update status.
- Coordinate with internal operations, credentialing, and medical staff services teams to align licensing timelines with placement needs.
- Engage directly with licensing boards and regulatory agencies to track application status and resolve processing delays.
- Investigate and propose solutions for complex licensing issues that may impact the timing of provider assignments.
- Monitor the progress of each application in real time and identify any outstanding items requiring attention.
- Support the timely acquisition of licenses to ensure providers are authorized to practice before their scheduled start dates.
- Adhere strictly to Hayes Locums operating policies, procedures, and compliance protocols during all interactions.
- Maintain precise and organized records within the company's proprietary systems to support audits and reporting.
- Protect the confidentiality of provider information and comply with all relevant regulatory and company standards.
- Perform additional administrative and support tasks as assigned to ensure the efficiency of the licensing workflow.
- Proactively identify trends in licensing challenges and contribute insights for process improvement.
- Support the overall goals of the Medical Support Services team through reliable execution and cross-functional collaboration.
Requirements
- Hold a Bachelor's degree in Health Administration, Healthcare Management, Business, or a closely related field.
- Acceptable alternatives may include an Associate degree combined with at least two years of relevant administrative or healthcare experience.
- Bring a minimum of two years of professional experience in administrative, licensing, credentialing, or healthcare operations roles.
- Demonstrate advanced proficiency with Microsoft 365 applications, including Excel, Word, Outlook, and PowerPoint.
- Exhibit exceptional organizational skills to manage personal schedules, workflows, and multiple concurrent responsibilities.
- Apply strong attention to detail to ensure accuracy in all documentation and data entry tasks.
- Use clear and professional written and verbal communication skills when interacting with internal and external partners.
- Effectively prioritize workloads and manage shifting deadlines in a fast-paced setting.
- Perform thorough proofreading to detect errors and ensure compliance with documentation standards.
- Apply critical thinking, problem-solving, and deductive reasoning to navigate complex regulatory scenarios.
- Maintain the highest level of confidentiality when handling sensitive provider and company information.
- Commit to compliance with all Hayes Locums policies, regulatory requirements, and quality assurance procedures.
- Be prepared to work a standard schedule of 8:00 a.m. to 5:00 p.m. or 9:00 a.m. to 6:00 p.m., Monday through Friday.
- Accommodate a one-hour unpaid lunch break each day as part of a 40-hour work week.
- Be eligible for a remote workday after successfully completing a 90-day training period, contingent on performance and manager approval.
Practical notes
- Your regular work schedule will be 8:00 a.m. to 5:00 p.m. or 9:00 a.m. to 6:00 p.m., Monday through Friday, including a one-hour unpaid lunch break each day, for a regular 40-hour work week. Hayes Locums offers schedule flexibility for this position based on business needs and team coverage requirements.
- Eligible for one remote workday per week following successful completion of a 90-day training period, subject to maintaining good standing and manager approval.
Compensation
This position offers a base pay of $25.48 per hour. Based on a regular schedule of 40 hours per week, this equates to an estimated annualized compensation of $52,998, assuming full-time employment for 52 weeks per year. Because this is a non-exempt hourly role, actual earnings may vary based on hours worked. Compensation is paid semi-monthly in accordance with the Company's regular payroll practices.
In addition to base pay, Licensing Specialists are eligible to participate in a monthly performance-based incentive program. Incentives are designed to reward both productivity and quality outcomes, including the successful completion of provider licensing activities, achievement of performance standards, and maintenance of accuracy and compliance expectations. Incentive payments are based on the prior month's performance and are paid in accordance with the Company's regular payroll practices.
