About the role
The Glazing Service Coordinator is central to the seamless flow of daily operations within the Flynn Group of Companies, acting as a critical link between field teams and administrative oversight. In this capacity, the hire owns the end-to-end coordination of glazing service jobs from initial contract review through to final documentation and crew dispatch. You will be responsible for ensuring that every service call, particularly those involving urgent leaks or maintenance, is handled with precision and timeliness. This role requires a proactive approach to scheduling, material ordering, and work order preparation to keep field operations running without interruption. You own the accuracy of job requirements by meticulously reviewing contracts and confirming all specifications before work begins. The position demands strong organizational discipline to multitask, prioritize, and stay on top of multiple deadlines in a fast-paced environment. You will also own the maintenance of comprehensive records, including detailed documentation of completed work and the up-to-date status of all field staff credentials. Success in this role means forming and maintaining strong customer relations through professional in-person, email, and telephone communication.

Provide Foremen and crews with detailed job information, including scope, timelines, and safety requirements to ensure alignment.
Keep field staff records up to date, including licenses, applications, and police/security checks to maintain compliance.
Respond promptly to customer inquiries and dispatch crews for service calls, especially for leaks and urgent maintenance issues.
Maintain on-call status as required to support emergency service needs and ensure coverage during critical periods.
Coordinate closely with the Superintendent and Field Operations teams to resolve any scheduling or operational conflicts.
Perform routine administrative tasks related to inventory tracking and supply levels to support efficient job execution.
Communicate changes or updates to job details clearly to all stakeholders to prevent misunderstandings on site.
Monitor job progress and provide updates to management as needed to facilitate decision-making and resource allocation.
Support continuous improvement initiatives by providing feedback on workflows and processes to enhance team productivity.
Requirements
Previous experience in a construction or glazing environment is considered an asset for understanding industry-specific challenges.
Display excellent interpersonal and communication skills, both written and verbal, to interact effectively with all levels of staff and clients.
Ability to pay strong attention to detail to ensure accuracy in documentation, scheduling, and material ordering.
Form and maintain customer relations, in person, through email, and over the phone to uphold the company's reputation.
