As an , you will play a crucial role in managing daily accounting functions and overseeing accounts payable operations. This position is integral to the finance team, where you will assist in various tasks such as expense management, financial closing processes, and ensuring compliance with tax regulations. What you'll do
- Manage the processing of vendor invoices and employee expense reports, ensuring they are accurately coded and adhere to payment protocols.
- Oversee the travel and expense program, which includes reconciling transactions made with corporate credit cards.
- Prepare and record regular journal entries, focusing on accruals and prepaid expenses, while ensuring all necessary documentation is in place.
- Conduct bank reconciliations and assist with the management of daily cash flow to ensure liquidity and operational efficiency.
- Collaborate with various departments on a monthly basis to ensure accurate postings related to inventory and receivables.
- Provide assistance to supervisors and senior management regarding expense inquiries, account research, and generate ad hoc reports as needed.
- Participate actively in monthly and year-end closing activities, adhering to the established timelines and procedures.
- Assist with intercompany billing and reconciliation efforts to ensure accuracy and compliance.
- Analyze and reconcile general ledger balances on a monthly basis, with a particular focus on cash and accounts payable.
- Support financial audits and ensure compliance with J-Sox regulations by maintaining the necessary documentation and records.
- Collaborate with the tax team to support ongoing compliance activities and respond to related data requests.
- Identify and recommend opportunities for process improvements within accounts payable and financial closing functions.
- Contribute to the Quality Management System (QMS) to enhance operational efficiency and compliance.
Requirements
- A minimum of 1-2 years of experience in accounting, particularly in accounts payable and month-end/year-end closing processes.
- Proficiency in Microsoft Excel, including advanced functions such as pivot tables and lookups, as well as familiarity with MS Word and automated accounting software.
- Strong analytical and organizational skills, with a keen attention to detail and a focus on maintaining well-documented processes and organized workpapers.
- Ability to work collaboratively within a team and cross-train on various accounting functions.
- Excellent interpersonal skills, enabling effective collaboration with diverse departments and stakeholders.
- Strong verbal and written communication abilities, essential for clear reporting and inquiry resolution.
Nice to have
- Experience with ERP accounting modules, with a preference for SAP knowledge.
- Familiarity with travel and expense automation tools, such as Concur, to streamline expense management.
- Background in managing corporate card programs, particularly with providers like American Express.
- Exposure to intercompany accounting practices, enhancing your understanding of complex financial transactions.
- Knowledge of multi-currency transactions and foreign parent reporting, with an understanding of IFRS versus US GAAP being advantageous.
- A Bachelor's degree in Accounting or Finance, which would provide a solid foundation for this role.
Skills & tools
- Proficient in Microsoft Excel and Microsoft Word, with experience in automated accounting systems and ERP software (preferably SAP). Familiarity with travel and expense (T&E) and accounts payable (AP) automation tools, such as Concur or similar platforms, is also beneficial.
