About the role
This role is positioned at the heart of vendor management for the Instashop grocery vertical, acting as a critical support function for the operations team. The successful candidate will own the integrity and accuracy of vendor data within the operational systems, ensuring that all retail partner records are current and actionable. You will serve as the first line of defense for partner communication, managing initial inquiries and acting as a central hub for information flow between retail accounts and internal specialists. A core responsibility involves configuring and maintaining the technical setup for new and existing partners within the vendor management platform. You will take ownership of documenting every interaction and status change, creating a clear audit trail for all vendor activities. Furthermore, this position requires proactive monitoring of vendor performance and lifecycle status to identify issues before they escalate into larger operational disruptions. You will be responsible for organizing and safeguarding all commercial documentation related to vendor agreements and amendments. Finally, the role demands the generation of insightful operational reports that track contract health, transmission methods, and sales trends to inform strategic decisions.

What you'll do
- Act as the primary answering point for incoming calls and emails directed at grocery and retail partners, triaging requests and escalating them to account managers or relevant departments when direct resolution is not possible.
- Function as the central coordination hub between finance, marketing, and operations, facilitating the smooth execution of commercial initiatives and sales activities.
- Perform comprehensive data entry and continuous refreshing of vendor records within the internal system to uphold the highest standards of data integrity and accuracy.
- Take full responsibility for the system configuration of newly onboarded partners, including providing initial technical support and training to resolve vendor-side setup issues.
- Implement a systematic approach to tracking the lifecycle status of retail vendors, ensuring that records for inactive or closed accounts are consistently updated and archived.
- Assume ownership of the entire documentation lifecycle for sales materials, including the meticulous organization, storage, and retrieval of contracts and their official amendments.
- Design and generate recurring analytical reports that monitor contract statuses, map vendor transmission methods, and analyze sales activity metrics for stakeholder review.
- Act as the guardian of vendor quality by monitoring partnership health and intervening to resolve operational conflicts that may arise between users and vendors.
- Drive process improvements for vendor data management by identifying inefficiencies and proposing solutions that enhance system usability and reporting accuracy.
- Collaborate with cross-functional teams to ensure that all vendor-related communications align with broader business objectives and compliance standards.
Requirements
- Hold a Bachelor degree in a related field, demonstrating a foundational understanding of business or data management principles.
- Possess Proficiency in MS Office, with a specific requirement for Excel certification to prove advanced spreadsheet manipulation abilities.
- Bring prior Experience with CRM software and established sales workforce tools to quickly adapt to the operational environment.
- Exhibit Strong verbal and written communication skills, with a demonstrated focus on delivering high-level customer service to internal and external partners.
