What you'll do
- Develop and maintain effective scheduling systems to ensure optimal staffing levels across various departments within the City of Hamilton.
- Collaborate with department heads to understand workforce needs and adjust schedules accordingly to meet service demands.
- Monitor attendance and punctuality, addressing any discrepancies or issues that may arise in a timely manner.
- scheduling software and tools to create, modify, and distribute employee schedules while ensuring compliance with labor laws and organizational policies.
- Analyze historical scheduling data to identify trends and make informed recommendations for future scheduling practices.
- Assist in the onboarding process for new employees by providing training on scheduling protocols and tools.
- Respond to employee inquiries regarding scheduling conflicts, shift changes, and time-off requests, providing solutions that align with operational needs.
- Prepare and maintain accurate records of employee schedules, absences, and overtime, ensuring data integrity and confidentiality.
- Coordinate with human resources to ensure that all scheduling practices align with collective agreements and organizational policies.
- Participate in regular meetings with management to discuss scheduling challenges and propose improvements to current practices.
- Support the implementation of new scheduling technologies and processes to enhance efficiency and effectiveness.
- Contribute to a positive workplace culture by promoting teamwork and open communication among staff members.
Requirements
- A minimum of two years of experience in workforce scheduling or a related administrative role, preferably within a public sector environment.
- Strong proficiency in scheduling software and tools, with the ability to quickly learn new systems as needed.
- Excellent organizational skills, with a keen attention to detail and the ability to manage multiple tasks simultaneously.
- Strong interpersonal and communication skills, both written and verbal, to effectively interact with employees and management.
- Ability to analyze data and generate reports to support scheduling decisions and improvements.
- Familiarity with labor laws and regulations related to workforce scheduling and employee rights.
Nice to have
- Experience working in a municipal or government setting, particularly in a scheduling capacity.
- Knowledge of collective bargaining agreements and their implications for workforce scheduling.
- Certification in workforce management or scheduling, such as from the Workforce Management Association.
Skills & tools
- Proficient in Microsoft Office Suite, particularly Excel for data analysis and reporting.
- Experience with scheduling software, such as Kronos, Shiftboard, or similar platforms.
- Strong analytical skills to assess scheduling efficiency and recommend improvements.
- Excellent problem-solving abilities to address scheduling conflicts and employee concerns.
