About the role
You will own the end to end coordination of the full cycle recruitment process for technical and operational roles across our Devens campus. You will manage the scheduling and logistical details of interviews to ensure a smooth and professional candidate experience from initial contact through final feedback. You will serve as the primary point of contact for candidates and hiring managers, maintaining clear and consistent communication throughout every stage of the process. You will utilize the applicant tracking system to update candidate profiles, monitor application status, and ensure all documentation is organized and accessible. You will post open positions to external job boards and coordinate the distribution of job descriptions to reach a diverse pool of qualified candidates. You will screen resumes and preliminary qualifications to ensure candidates meet the basic requirements of the role before advancing them to interviews. You will collaborate closely with the recruiting team to understand hiring needs and adjust workflows in support of shifting priorities. You will contribute to the continuous improvement of recruitment processes by identifying bottlenecks and suggesting practical solutions to enhance efficiency.

What you'll do
Coordinate interview scheduling across multiple time zones and stakeholder calendars to minimize disruptions to operational workflows.
Post job openings to external recruitment platforms and career websites while ensuring brand consistency and accurate role representation.
Manage the candidate pipeline within the applicant tracking system, updating records and maintaining data integrity for active requisitions.
Screen incoming applications to verify that candidates meet the minimum qualifications outlined for each position.
Serve as the onsite greeter and facility contact for candidates visiting the Devens campus, ensuring a professional and welcoming environment.
Communicate regularly with hiring managers to collect interview feedback and update candidate status in a timely manner.
Maintain organized records of interview schedules, candidate interactions, and offer coordination materials for future reference.
Support the distribution of internal announcements and job postings to employees as needed for open roles and talent initiatives.
Monitor recruitment metrics and reporting requirements to provide visibility into team performance and hiring progress.
Assist with special projects such as onboarding coordination, event support, and documentation of standard operating procedures.
Process background check requests and manage candidate documentation through secure internal systems with attention to compliance.
Respond to candidate inquiries regarding the status of their application and next steps in the selection process.
Collaborate with the broader recruiting team to ensure alignment on priorities, timelines, and changes to hiring strategies.
Maintain a high level of professionalism and discretion when handling confidential personnel information and sensitive hiring data.
Requirements
Be legally authorized to work in the United States without sponsorship now or in the future for this role.
Have previous experience working in an administrative or coordinator role within a fast paced environment.
Demonstrate strong written and verbal communication skills with the ability to interact professionally at all organizational levels.
Be proficient in Microsoft Office applications including Word, Excel, and Outlook for daily documentation and correspondence.
Be comfortable using an applicant tracking system and managing multiple priorities with attention to detail.
Possess a high school diploma or equivalent; a bachelor's degree is preferred but not required.
Be able to perform the essential functions of this role with or without reasonable accommodation.
Understand and comply with all company policies, safety procedures, and confidentiality agreements.
Nice to have
Previous experience in the energy, engineering, or technology sectors is preferred.
Familiarity with hybrid recruitment models and virtual interview platforms is beneficial.
Experience supporting multi location hiring initiatives or campus recruiting events is a plus.
Knowledge of basic human resources principles and employment law fundamentals is advantageous.
Practical notes
This is a contract position based at our Devens, MA campus.
Hours are Monday through Friday, 9:00 AM to 5:00 PM.
Candidates must be authorized to work in the United States.
Relocation or sponsorship is not available for this role.
