What you'll do
- Coordinate project schedules by assisting in the development and maintenance of project timelines, ensuring that all milestones are met in a timely manner.
- Serve as the primary point of contact for project-related inquiries, facilitating communication between team members, clients, and vendors.
- Prepare and distribute project documentation, including meeting agendas, minutes, and status reports, to keep all stakeholders informed of project developments.
- Monitor project budgets and expenditures, assisting project managers in tracking financial performance and identifying any potential issues.
- Assist in the procurement process by preparing purchase orders and managing vendor relationships to ensure timely delivery of materials and services.
- Organize and participate in project meetings, ensuring that all relevant information is captured and action items are assigned and followed up on.
- Maintain project management software and databases, ensuring that all project data is accurate and up-to-date for reporting purposes.
- Support the onboarding of new team members and facilitate training sessions to ensure they are well-acquainted with project processes and tools.
- Conduct regular project reviews to assess progress and identify areas for improvement, collaborating with project managers to implement necessary changes.
- Assist in the development of project proposals and presentations, contributing to the overall success of business development efforts.
- Ensure compliance with company policies and industry regulations throughout the project lifecycle.
- Provide administrative support to project managers as needed, including scheduling meetings, managing calendars, and handling correspondence.
Requirements
- Bachelor's degree in Business Administration, Project Management, or a related field.
- A minimum of 2 years of experience in project administration or a similar role, preferably within the construction or engineering industry.
- Proficiency in project management software and tools, such as Microsoft Project, Asana, or Trello.
- Strong organizational skills with the ability to manage multiple projects simultaneously and prioritize tasks effectively.
- Excellent verbal and written communication skills, with a keen attention to detail.
- Ability to work collaboratively in a team environment and build strong relationships with colleagues and clients.
- Familiarity with budgeting and financial tracking processes is a plus.
- Strong problem-solving skills and the ability to adapt to changing project requirements.
- Proficient in Microsoft Office Suite, particularly Excel, Word, and PowerPoint.
