This Workplace and Executive Support Assistant role sits within Executive Operations and is responsible for delivering high-quality office and executive support. The role combines hands-on operational execution with broader coordination, stakeholder management, and continuous improvement responsibilities, ensuring a seamless, professional, and well-managed workplace experience.
You will own the end-to-end management of office operations and executive workflows, ensuring that daily activities run efficiently and support the strategic priorities of the business. You will act as a key point of contact for both internal teams and external vendors, coordinating responses and resolving issues in a timely and organised manner. You will proactively identify opportunities to streamline processes, introduce simple improvements, and uphold the highest standards of professionalism in all interactions. You will manage sensitive information with discretion and demonstrate integrity in every task you perform. You will collaborate closely with the Executive Operations team to provide structured and responsive support that enables leaders to focus on high-value activities. You will contribute to a positive and inclusive workplace culture by supporting initiatives that enhance employee experience and engagement.
Key facts
What you'll do
Coordinate the intake and distribution of all incoming mail, manage office supplies inventory, oversee procurement activities, and maintain relationships with selected suppliers to ensure timely delivery of goods and services.
Book and manage meeting rooms and individual desk bookings, coordinate desk and meeting room procurement, and optimise occupancy data to support space planning initiatives.
Handle all aspects of call management and visitor reception, ensuring a professional and welcoming experience for guests and stakeholders entering the office environment.
Process invoices in line with internal financial controls, raise purchase orders where required, track payment statuses, chase necessary approvals, and resolve basic invoice queries while supporting broader financial record keeping and reporting.
Maintain accurate and up-to-date records for headcount, occupancy, and office-related data, update internal systems as changes occur, and support the preparation of monthly reports and data tracking activities.
Maintain Health and Safety records and induction materials, track completion of new joiner H&S requirements, support compliance activities, and manage documentation management in a secure and organised manner.
Coordinate onboarding activities including managing office access, facilitating inductions, and overseeing memberships, while also supporting leaver processes such as access return and offboarding coordination.
Collect data on energy use, waste, and sustainability metrics, ensuring that information is accurate and timely to support reporting and compliance requirements related to environmental performance.
Support employee experience initiatives by assisting with the provision of welcome gifts, the coordination of office events, and the arrangement of team visits and internal activities that foster collaboration and engagement.
Provide Executive Assistant support to the Executive Operations team with tasks such as expenses processing, travel planning, meeting coordination, and correspondence support, with full training and development provided to ensure confidence and competence in these areas.
Organise and deliver event management support for flagship events, senior leadership team visits, and large-scale training sessions, managing logistics and stakeholder requirements end-to-end.
Manage local Enable Workplace requests, triaging them appropriately and providing general administrative support to the rest of the Workplace and Executive Operations teams as required.
Act as a connector between global BE teams including People, Clients & Marketing, TeCy, BMO, Finance, Legal & Business Integrity, facilitating communication and ensuring alignment on operational matters.
Maintain a high level of service quality by monitoring own performance, seeking feedback, and implementing actions to continuously improve the effectiveness of workplace operations.
