The individual in this position will act as the central hub for all daily operations within our Bangalore office, ensuring that the physical environment supports the company's aggressive growth trajectory. You will be the first point of contact for employees, vendors, and visitors, shaping their initial perception of our culture and standards. This role requires a proactive mindset to oversee facility management, administrative logistics, and team culture without direct supervision on every task. You will own the end-to-end experience of the office, from the condition of the workspace to the success of internal events. The position demands a high level of discretion when handling confidential information and sensitive operational data. You will manage relationships with both internal teams and external vendors to maintain a seamless operational flow. Success in this role will be measured by the efficiency of office systems and the quality of the employee experience you deliver. By coordinating cross-functional needs, you enable the Finance team and the broader organization to focus on their core objectives without operational friction.
Key facts
What you'll do
- Supervise the daily functionality of the Bangalore office, including facility maintenance and the oversight of support staff and maids to ensure service level standards are consistently met.
- Act as the primary liaison for all office related inquiries, managing general correspondence, email screening, and phone management to filter and direct communications appropriately.
- Coordinate and execute event planning from start to finish, including venue sourcing, catering management, and logistics for team meetings, off-sites, and company gatherings.
- Manage the operational and employee experience budgets, performing forecasting, tracking expenditures, and ensuring financial adherence to company guidelines.
- Oversee the inventory of company assets, office supplies, and merchandise, maintaining accurate records and reordering as necessary to prevent shortages.
- Facilitate new hire onboarding by arranging workstation setups, managing access provisioning, and ensuring that all necessary resources are ready before start dates.
- Build and maintain relationships with external vendors, including building management and service providers, to negotiate contracts and ensure service quality.
- Ensure strict compliance with office health, safety, and regulatory standards, conducting regular checks to mitigate risk and maintain a secure environment.
- Act as a cultural ambassador by designing and organizing team-building activities and wellness initiatives that reinforce our core values and foster collaboration.
- Track key operational metrics such as headcount capacity and contract renewal dates, providing timely alerts and updates to stakeholders.
- Manage the end-to-end procurement process, requiring strong negotiation skills to secure favorable vendor terms and control costs.
- Support global collaboration by enabling seamless interactions between the Bangalore office and our remote international teams, removing logistical barriers.
Requirements
- 3 to 5 years of proven experience in office management or administration, with a preference for candidates who have worked in the high-tech sector.
- Demonstrated success supporting office environments that manage growth phases with 50 to 100 employees, ensuring standards are maintained.
- Advanced proficiency in written and spoken English is mandatory for clear communication with internal and external stakeholders.
- The ability to manage confidential information with the highest level of discretion, integrity, and professionalism at all times.
- Strong negotiation skills essential for drafting vendor contracts, managing relationships, and achieving cost-effective solutions.
- Proven ability to collaborate effectively across global and regional teams, navigating different time zones and cultural norms.
