What you'll do
- Serve as the primary point of contact for all administrative functions at the site, ensuring effective communication between departments and external stakeholders.
- Manage daily office operations, including scheduling meetings, coordinating travel arrangements, and maintaining office supplies.
- Oversee the maintenance of site records, ensuring all documentation is accurate, up-to-date, and compliant with company policies and regulations.
- Assist in the preparation of reports and presentations, compiling data from various sources to support management decision-making.
- Facilitate onboarding processes for new employees, including orientation sessions and training coordination.
- Collaborate with the finance team to manage budgets, track expenses, and process invoices in a timely manner.
- Support the health and safety initiatives at the site, ensuring compliance with safety protocols and assisting in training sessions.
- Act as a liaison between the site and corporate office, ensuring alignment on policies, procedures, and project updates.
- Organize site events and meetings, including logistics, catering, and materials preparation, to foster team engagement and collaboration.
- Maintain a positive and professional work environment, addressing employee inquiries and concerns promptly and effectively.
- Contribute to continuous improvement initiatives by identifying areas for operational enhancement and implementing best practices.
- Stay informed about industry trends and company developments to provide informed support and insights to management.
Requirements
- A minimum of 3 years of experience in an administrative role, preferably in an industrial or manufacturing environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management software.
- Strong organizational skills with the ability to prioritize tasks and manage time effectively in a fast-paced environment.
- Excellent written and verbal communication skills, with a keen attention to detail.
- Experience in budget management and financial reporting is a plus.
- Knowledge of health and safety regulations and practices relevant to industrial operations.
- Ability to work independently and as part of a team, demonstrating flexibility and adaptability to changing priorities.
- A proactive approach to problem-solving, with the ability to anticipate needs and take initiative.
