Responsibilities
The Procurement Manager, Operations is responsible for managing the day-to-day procurement function, ensuring efficient processing of purchasing requests, purchase order creation, vendor onboarding coordination, contract workflow administration, procurement reporting, and stakeholder support. This role serves as the operational backbone of the procurement organization, enabling timely and compliant purchasing across the company. This position partners closely with Strategic Sourcing, Finance, Legal, IT, Security, and business stakeholders to ensure requests move efficiently through procurement workflows while maintaining strong data quality, process compliance, and user experience.
What you'll do
- Coordinate the intake, assessment, and prioritization of procurement requests to ensure timely processing and fulfillment.
- Perform detailed review of purchase requisitions to verify completeness, accuracy, and adherence to company policies before proceeding.
- Own the creation, routing, and status tracking of purchase orders through the entire procurement workflow until closure.
- Manage vendor onboarding procedures, ensuring all necessary documentation and compliance checks are initiated and completed.
- Administer contract workflow activities, coordinating with Legal and stakeholders to ensure terms are correctly applied and executed.
- Execute procurement reporting to monitor key metrics, identify trends, and provide actionable insights to leadership.
- Provide proactive support and guidance to internal stakeholders to resolve procurement-related issues and inquiries.
- Maintain strict data quality across procurement systems, ensuring all records are current, consistent, and auditable.
- Partner with Finance and IT to reconcile procurement data, resolve discrepancies, and support system integrity.
- Act as the primary liaison between business units and vendors to facilitate communication and address operational concerns.
- Monitor request volumes and processing times to identify bottlenecks and recommend improvements to workflow efficiency.
- Support special projects and ad hoc tasks related to procurement operations, demonstrating flexibility and attention to detail.
- Champion best practices across the procurement function, promoting consistency, transparency, and compliance.
- Assist in the coordination of purchase order amendments, approvals, and closeout activities in a timely manner.
Requirements
- Demonstrate strong attention to detail and the ability to manage multiple priorities in a fast-paced environment.
- Possess excellent written and verbal communication skills to interact effectively with internal stakeholders and vendors.
- Show proficiency in using productivity tools, including spreadsheets and enterprise applications, to manage workflows and data.
- Exhibit strong problem-solving skills to navigate process gaps and find practical solutions.
- Have a foundational understanding of procurement processes and the ability to quickly learn system workflows.
- Display a high level of professionalism and discretion when handling sensitive or confidential information.
- Be comfortable working independently and taking ownership of tasks with minimal supervision.
- Be able to collaborate across diverse teams, including Finance, Legal, IT, Security, and business stakeholders.
