About the role
Unit4 seeks a proactive and detail-oriented Team Assistant to support the Heads of Engineering. This position reports to the Executive Assistant to the CTO and plays a critical role in maintaining the efficiency of executive-level operations. The role provides essential administrative support to ensure seamless leadership functioning.
The ideal candidate brings exceptional organizational capabilities, a "go-to" mindset, and the capacity to manage concurrent responsibilities. Success in this role requires a minimum of two years of administrative experience, strong English communication abilities, and technical proficiency in core administrative processes.
Key Responsibilities
Calendar Management
You are responsible for efficiently managing complex schedules for the Heads of Engineering. This includes arranging meetings, appointments, and conference calls across multiple time zones. You will handle last-minute schedule modifications and provide timely updates to all relevant parties.
Documentation Management
You will maintain and update administrative assistance procedures and organizational charts. Ensuring the accuracy and accessibility of all documentation is a core requirement of this duty.
Travel Coordination
You will arrange domestic and international travel for executives. This covers flights, accommodations, ground transportation, and detailed itineraries. You will manage changes to travel plans as required and guarantee timely communication with leadership. All arrangements must be made within budgetary limits and company policies. You will also track and organize travel expenses to ensure accurate and timely reporting.
Purchase Orders and Expenses
You will raise purchase orders accurately and in a timely fashion. Processing and reconciling executive expense reports in compliance with company policies is essential. You will ensure proper documentation and the timely submission of all expense claims.
General Administrative Support
You will serve as the primary point of contact for the executives you support. This involves handling correspondence and inquiries with a high level of professionalism. Coordinating meeting agendas, presentations, and follow-up materials as needed is also part of this role.
Collaboration and Communication
You will work closely with the CTO's Executive Assistant to streamline communication and optimize processes. Coordination with internal and external stakeholders is necessary to ensure tasks and requests are handled with maximum efficiency. Maintaining confidentiality at all times when managing sensitive information is mandatory.
Required Qualifications
- A minimum of two years of experience in an administrative or executive assistant role within a corporate or multinational environment.
- Demonstrated excellence in both written and verbal English communication.
- Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and SharePoint.
- Familiarity with travel booking platforms, purchase order creation, and expense report processing.
- Exceptional organizational and multitasking skills.
- A proactive attitude characterized by a "can-do" and "go-to" approach.
- High attention to detail and accuracy in all tasks.
- The ability to perform effectively under pressure and adapt to shifting priorities.

Salary Range: 22,349 - 27,855 EUR
