The Post-Closing Manager will lead our post-closing team and own the end-to-end integrity of closed mortgage loan workflows. This role is responsible for ensuring all documentation meets strict regulatory and investor standards while driving continuous improvement. You will serve as the technical and operational expert for conventional, FHA, VA, and USDA loan products. The position requires a proactive leader who can translate complex requirements into clear team execution. You will directly influence our ability to deliver clean, compliant loan files to investors on time.

What you'll do
Coordinate daily operations of the post-closing team to ensure consistent and timely processing of loan files.
Establish and monitor individual and team productivity standards, targeting an average of 5-6 loans reviewed per coordinator per day at a high quality threshold.
Lead pipeline reviews to identify delays and reallocate resources so that department turnaround targets are consistently met.
Serve as the primary escalation point for complex loan defects, documentation disputes, and investor exception handling.
Oversee comprehensive audits of all closed loan files to verify completeness, accuracy, and adherence to regulatory and investor guidelines.
Direct the identification, remediation, and closure of loan defects, ensuring all conditions are resolved within department service level agreements.
Maintain strict accountability for final recorded and non-recorded closing documents, ensuring proper custody, security, and retrievability.
Ensure all post-closing activities comply with TRID disclosure rules, FHA/VA/USDA guidelines, and applicable fair lending regulations.
Manage the submission and receipt of FHA mortgage insurance and VA loan guaranty within 60 days of closing through established workflows.
Oversee processing of upfront MIP and VA/USDA funding fee payments via the payment processing system to prevent lapses.
Guarantee that all loans are registered accurately with MERS to support secondary market intentions.
Manage submissions of all required loans through Fannie Mae and Freddie Mac UCD channels in alignment with investor requirements.
Collaborate closely with compliance, legal, and secondary market teams to resolve investor findings and address repurchase requests efficiently.
Develop, implement, and maintain post-closing policies, procedures, and training materials that promote consistency and regulatory alignment.
Track and report on key performance metrics including defect rates, cure timelines, investor delivery rates, and team throughput to guide strategic decisions.
Identify systemic issues and lead cross-functional initiatives that improve loan quality and reduce post-closing defects across the lifecycle.
Partner with closing, underwriting, and operations leadership to align processes and elevate shared quality standards.
Administer and optimize workflows within the loan origination system to enhance post-closing efficiency and reduce manual touchpoints.
Manage relationships with title companies, recording agencies, custodians, and investors to resolve post-closing issues and ensure smooth file resolution.
Requirements
Bring a minimum of 5 years of dedicated mortgage post-closing experience to the role, with at least 2 years in a supervisory or team lead capacity.
Demonstrate deep knowledge of conventional loan guidelines, including TRID disclosure and timing requirements, investor delivery standards, and post-closing documentation obligations.
Show a proven ability to identify, document, and remediate loan defects across multiple loan product types, including conventional, FHA, VA, and USDA.
Have hands-on experience with a paperless loan origination system, with Byte Pro as a strong preference and Encompass as an accepted platform.
Exhibit strong organizational and prioritization skills, managing competing deadlines and high-volume workflows without compromising accuracy.
Possess excellent written and verbal communication skills, with the ability to convey complex requirements to internal stakeholders, investors, and external partners.
Show a proven capacity to lead teams, drive accountability, and uphold high standards of quality even under intense production pressure.
Maintain strict adherence to regulatory and investor compliance standards in every aspect of post-closing operations.

Candidates who have managed investor relationships and responded to post-purchase review findings or repurchase demands will find strong alignment with this role.
Experience with secondary market requirements for loan delivery to Fannie Mae and Freddie Mac, including UCD submission processes, is preferred.
