About the role
You will act as the primary administrative and technical link between our outside sales engineers and our customers in the field. In this role, you own the order entry process from initial inquiry to final confirmation, ensuring accuracy and compliance with company standards. You own the responsibility of translating complex technical product data into clear communication that supports the sales team. This position requires you to manage the lifecycle of customer interactions, from initial contact through resolution of post-sale inquiries. You will serve as the first point of contact for technical questions, acting as a filter and information hub for the Mechanical group. The role demands a high level of self-discipline and the ability to learn independently by observing and absorbing knowledge from a retiring expert. Success in this position is defined by your ability to solve customer problems efficiently and provide critical insight that keeps operations running smoothly.
Key facts
What you'll do
-Execute precise order entry and administrative tasks for mechanical equipment using internal systems.
-Field incoming telephone calls and analyze customer correspondence to resolve technical inquiries on products.
-Investigate technical specifications to identify the correct pump, blower, or filtration solution for unique applications.
-Draft formal quotations by calculating pricing, applicable discounts, and shipping charges in alignment with company policy.
-Interpret engineering drawings and technical documents to verify product compatibility and requirements.
-Liaise directly with service technicians and manufacturers to troubleshoot complex mechanical system failures.
-Update customers regarding order status, back orders, and delivery timelines while providing proactive tracking information.
-Verify purchase order details and process credit card information to facilitate smooth transaction completion.
-Collaborate with the Accounting department to reconcile invoicing errors and resolve credit discrepancies efficiently.
-Participate in scheduled sales meetings and training sessions to master new product features and industry advancements.
-Maintain detailed records of all customer interactions to ensure continuity and support team objectives.
-Utilize critical thinking to develop substitute solutions when standard products do not meet design prerequisites.
-Monitor inventory levels and communicate potential supply chain delays to affected stakeholders.
-Support the strategic goals of the Mechanical group by ensuring technical data is current and accessible.
Requirements
-Must possess an Associate's Degree or equivalent from a two-year College or technical school.
-Alternatively, candidates must have two to four years of related experience and/or training.
-A combination of education and experience that is equivalent to the above standards is acceptable.
-Must have a Bachelor's degree from an engineering program of study to be considered for the role.
-Must demonstrate a working knowledge of mechanical systems, specifically positive displacement pumps.
-Must be proficient with internal gear and vane pumps, filtration systems, and related hydraulic components.
-Must have the ability to read, analyze, and interpret technical drawings accurately.
-Must possess strong written communication skills to draft reports and general business correspondence.
-Must be capable of calculating figures and amounts, including discounts, commissions, proportions, and percentages.
-Must be able to convert standard measurements to metric units without error.
-Must have a working knowledge of Microsoft Office Products, including Word and Excel.
-Must be proficient in using Prophet 21 software for order and financial management.
-Must be authorized to work in the United States and not require sponsorship for employment visa.
Nice to have
-Experience working with steam products and hydronics equipment.
-Familiarity with municipal products and their application in commercial markets.
-Background in IIoT or digital monitoring systems for industrial applications.
-Knowledge of repair center operations and parts identification.
-Experience supporting municipal projects in North Carolina, South Carolina, Tennessee, Georgia, or Virginia.
Practical notes
This is a full-time in-office position located in Matthews, North Carolina. The standard schedule is Monday through Friday, from 8:00 a.m. to 5 p.m. The role may require occasional evening and weekend work to meet job duties and customer demands. Travel is not required for this position as all essential functions are performed on-site at the Carotek facility. Candidates must be authorized to work in the United States without the need for visa sponsorship. There are no specific deadline-driven requirements outlined for this role, as it is a ongoing staffing need to support the Mechanical group.
