What you'll do
Provide essential operational and administrative assistance to wealth managers, delivering outstanding client support and nurturing lasting client relationships that stand the test of time.
Efficiently manage and complete all client-related tasks, inquiries, and requests in a prompt manner, ensuring no detail is overlooked and deadlines are consistently met.
Identify and implement meaningful improvements to internal processes to enhance the overall experience for both advisors and clients, driving efficiency and reducing friction.
Facilitate the entire client acquisition and onboarding journey, from preparing meticulously for initial meetings to gathering necessary documentation and initiating complex account setup and transfers.
Support advisors by executing investment trades with precision and handling account billing, invoicing, and performance reporting to maintain accurate financial records.
Coordinate seamlessly with other professional advisors, including CPAs, estate attorneys, and business managers, to align on strategies and client objectives.
Maintain accurate, up-to-date client information within Salesforce and other relevant systems to ensure data integrity and easy access for the team.
Ensure strict adherence to all compliance regulations and internal procedures, mitigating risk and protecting the integrity of the firm.
Uphold the highest level of client confidentiality by safeguarding all personal and financial data with diligence and discretion in every interaction.
Take ownership of end-to-end client service lifecycles, acting as a trusted point of contact and problem solver for advisors and their clients.
Leverage technology and analytical thinking to solve complex operational challenges and improve the efficiency of daily workflows.
Communicate professionally and clearly in all written and verbal interactions, representing the company's values and commitment to excellence to external stakeholders.
Collaborate with cross-functional teams to implement new initiatives and ensure smooth execution of projects related to client services.
Continuously seek feedback from advisors and clients to identify areas for service enhancement and implement actionable solutions.
Requirements
A minimum of 2 years of experience in a similar client-facing role within a registered investment advisory firm or broker-dealer, with direct experience interacting with both clients and advisors in a professional setting.
A proactive, collaborative, and self-motivated approach is essential, demonstrating a strong sense of ownership and the ability to work effectively with minimal supervision.
Exceptional interpersonal and communication abilities, both written and verbal, to convey information clearly and build rapport with diverse stakeholders.
Proficiency with Google Workspace (Docs, Sheets, Slides) and a high level of familiarity with Microsoft Office equivalents for creating and analyzing documents and data.
Strong organizational skills and meticulous attention to detail, with the capacity to manage and prioritize multiple tasks, projects, and deadlines simultaneously without dropping the ball.
The ability to quickly learn and adapt to new technologies, platforms, and software applications as the business environment evolves.
A demonstrated commitment to maintaining the highest standards of ethics, confidentiality, and compliance in all professional activities.
The capability to work independently and as part of a distributed team, managing your time effectively across different time zones if necessary.
Nice to have
Series 7 and 66 licenses, or Series 65 license, which can provide a deeper understanding of the regulatory landscape and financial products.
A Bachelor's degree in finance, economics, or a related field, offering a foundational knowledge that complements on-the-job learning.
Advanced degrees or certifications such as CFP, CPA, or CFA, indicating a high level of expertise and dedication to the profession.
Previous experience using Salesforce, which would allow for a smoother transition into managing client data and workflows within the platform.
Prior experience working with custodians like Fidelity, Charles Schwab, or Pershing Advisor Services, providing familiarity with third-party administrator processes and systems.
