About the role
This role is centered on the accurate processing of payments and billing for our Employee Assistance Program partners. You will manage the full billing cycle, prepare detailed financial submissions, and resolve any payment discrepancies that arise. The position is designed for an analytical professional who can enhance operational efficiency within a dynamic and growing environment. You will act as a key liaison between internal teams and external EAP providers to ensure seamless financial operations. Success in this role requires a proactive approach to identifying bottlenecks and implementing sustainable solutions. The work directly supports the scalability and reliability of our revenue cycle. You will be responsible for maintaining the integrity of financial data throughout all billing activities. This is an opportunity to own critical operational processes from end to end.
Key facts
What you'll do
Manage the complete billing cycle for EAP partners, including generating and submitting invoices accurately and on time.
Review incoming payments and remittance details meticulously, investigating and resolving any variances to ensure correct application.
Collaborate with internal departments and external EAP providers to address and resolve billing and payment issues efficiently.
Identify opportunities and implement improvements to existing workflows, supporting process automation and scalability as new partners join the ecosystem.
Develop clear, structured documentation for processes and create training materials tailored for both technical and non-technical audiences.
Monitor billing activities and key performance indicators to detect trends and drive proactive improvements in operational accuracy.
Serve as the primary point of contact for partners regarding billing inquiries, ensuring timely and professional resolution of concerns.
Utilize data analysis to forecast billing outcomes and support strategic decision-making within the Financial Operations team.
Maintain strict compliance with internal controls and financial policies to safeguard company and partner interests.
Contribute to cross-functional projects aimed at enhancing the overall efficiency of the revenue cycle and billing infrastructure.
Support the testing and rollout of new billing features or partner integrations, ensuring smooth transitions and minimal disruption.
Champion best practices in financial operations, sharing insights and methodologies to elevate the standard of service across the organization.
Requirements
A minimum of 3 years of experience in billing, accounts receivable, or a similar function within a rapidly growing operational environment.
Demonstrated ability to independently improve and optimize processes using tools like Salesforce, AdvancedMD, payer portals (e.g., Availity), and Google Suite/Microsoft Office, particularly Excel/Google Sheets.
Proven capacity to structure problems, prioritize tasks, and communicate effectively to address current needs and anticipate future requirements.
Experience creating clear, practical documentation, such as training guides or process outlines, for both technical and non-technical individuals.
A strong attention to detail is required to manage complex billing cycles and ensure accuracy in all financial outputs.
The ability to work autonomously while managing multiple priorities in a fast-paced, dynamic setting.
Strong analytical skills to interpret financial data and translate it into actionable insights for process improvement.
Reliability and consistency in meeting deadlines and maintaining high standards of accuracy in all deliverables.
Nice to have
Prior experience in the healthcare industry or a startup company.
Familiarity with various insurance billing types, including commercial, EAP, Medicare, and Medicaid.
Proficiency with Google Suite, Salesforce, ZenDesk, AdvancedMD/EHR, or comparable systems.
Knowledge of revenue cycle management in healthcare, with a focus on billing, payment posting, and credit management for insurance and government payers.
Practical notes
This is a fully remote position within the United States. Rula currently does not hire in Hawaii.
