About the role
Bamboohr is currently seeking a dedicated Events & Office Operations Coordinator to join the team in High Point, North Carolina. This role is responsible for managing the daily administrative and logistical functions that keep the office running efficiently, from coordinating company events and managing office supplies to ensuring the workspace remains welcoming and functional. The coordinator will work closely with colleagues across every department to plan gatherings, handle vendor relationships, and support the leadership team with special projects as needed. What you'll do
- Arrange and coordinate internal and external company events from initial planning through final execution and post-event follow-up.
- Manage office supply inventories on a regular basis and place timely orders to keep the workspace fully stocked and operational.
- Greet visitors and guests at the front desk with professionalism and direct them to the appropriate team or meeting room.
- Maintain the master office calendar and schedule conference rooms and shared spaces for all team meetings and events.
- Oversee basic facilities upkeep and coordinate with external vendors for repairs, maintenance, and other building services as needed.
- Process incoming and outgoing mail and packages according to established company procedures and ensure timely distribution to recipients.
- Assist with onboarding new hires by preparing the office workspace, assembling orientation materials, and coordinating first-day logistics.
- Track monthly office expenses and submit detailed expense reports to the operations manager for review and approval.
- Coordinate catering, refreshments, and beverage services for meetings, workshops, training sessions, and company social gatherings.
- Develop and continuously update standard operating procedures for all office administrative tasks to improve efficiency over time.
- Handle travel arrangements for staff members, including booking flights, hotels, ground transportation, and managing travel itineraries.
- Support the leadership team with special projects and ad hoc initiatives as they arise throughout each quarter.
- Monitor office equipment and coordinate with IT support for any repairs, replacements, or upgrades to workstations and peripherals.
- Organize and maintain the office filing system, both physical and digital, to ensure documents are easy to locate.
Requirements
- High school diploma or equivalent required; an associate or bachelor degree in a related field is preferred.
- Two or more years of hands-on experience in office administration, event coordination, or a similar operational role.
- Strong written and verbal communication skills with a demonstrated ability to convey information clearly and accurately.
- Ability to manage multiple tasks simultaneously, prioritize competing demands, and consistently meet firm deadlines without fail.
- Proficiency with common office software applications and the ability to troubleshoot basic computer and technical issues.
- Comfortable and experienced working with external vendors, contractors, and various service providers to coordinate deliverables.
- Demonstrated ability to independently organize complex schedules and coordinate logistics for events and daily operations.
- A willingness to handle confidential company information with discretion, professionalism, and a strong sense of integrity.
- Familiarity with basic bookkeeping or expense tracking principles is a plus for this coordination role.
- Previous experience managing a front desk or reception area and interacting with a wide range of visitors.
